Job Summary
Reporting to the Director, Athletics and Recreation, the Manager is responsible for the day-to-day oversight and delivery of core operational functions that support Ontario Tech’s OUA varsity sport programs. This role ensures the smooth and effective execution of all logistical and administrative aspects related to varsity athletics, contributing to a positive student-athlete experience and the success of Ridgeback Athletics.
The Manager oversees key operational areas including coach and staff support, home game facility operations, varsity team travel, competition scheduling, equipment and uniform management, and coordination of sport marketing and information. The role ensures alignment with departmental goals and university policies while maintaining strong working relationships with coaches, student-athletes, athletics and recreation staff, and key campus and external stakeholders, including the OUA and local sport organizations. With a focus on service delivery, operational efficiency, and continuous improvement, the Manager plays an important role in reinforcing a collaborative, inclusive, and athlete-centered environment. The ideal candidate is detail-oriented, organized, and responsive, with the ability to manage multiple priorities in a dynamic, team-based setting.
Responsibilities/accountabilities
Operations Management
Implement short- and medium-term operational plans for varsity athletics in alignment with the department’s mission, vision, values and goals
Assign workloads, establish priorities, and monitor progress toward departmental objectives
Provide day-to-day leadership and support to athletic operations staff, student employees, and volunteers
Maintain staff performance through effective hiring, supervision, performance evaluation, and professional development of full time, part time and student staff
Execute operations for high performance (varsity) teams and varsity club teams, including scheduling, uniform and equipment procurement, team travel arrangements, meal planning, billing processes, and Work Study coordination
Assist in managing team budgets, including tracking expenditures, maintaining special accounts, and preparing budget submissions to ensure fiscal responsibility
Oversee the integration of technology to support coaches, staff and student-athletes needs, drive operational improvements, efficiencies and optimized outcomes
Stay current with trends in varsity athletics through participation in skilled organizations, conferences, and ongoing research
Execute program reviews and audits to evaluate operational effectiveness and financial accountability; incorporate stakeholder feedback through surveys and consultations
Represent Ontario Tech at OUA and USport athletic conferences and events
Athlete/Team Development and Service Delivery
Execute the delivery of effective and up-to-date processes and procedures supporting the performance and development of High-performance and varsity club teams and athletes
Support the operational execution of key athletics events, including Athletics Awards Gala, Marquee games and team-specific alumni functions
Support technical logistics related to varsity home games and events, including staffing, event technology, and facility setup
Ensure proper risk management protocols are in place and followed for all team travel and game-day operations
Foster positive relationships with student leaders (RLC, BAA), academic societies, residence, and other student support services to enhance student-athlete success and retention
Promote equity, diversity, and inclusion (EDI) across all facets of varsity sport operations and student-athlete engagement
Support recruitment, onboarding, training, and professional development initiatives
Point person for athlete management software content and functionality
Business Operations and Partnerships
Streamline departmental business processes and enhance internal efficiencies using innovative and technology-driven solutions
Coordinate and implement solutions to address key operational, financial, and administrative challenges
Support the development of departmental budgets by compiling financial data, preparing reports, and conducting regular reviews with senior staff
Perform financial analysis on departmental revenue and expenses, including statistical evaluations, historical trend analysis, and accurate financial tracking procedures
Act as a key liaison with internal departments such as Financial Services, Purchasing, and Accounts Payable/Receivable to ensure efficient financial operations
Serve as the departmental contact for data privacy, secure information management, document retention, and credit card compliance
Provide support to varsity coaches in managing and monitoring team-specific fundraising accounts and related financial activities
Required Skills
Excellent tact, diplomacy and judgment are required in working with students, parents, staff, faculty, senior university officials and community partners
Expertise in planning and financial management duties, including the ability to analyze and present financial data, ability to forecast short- and long-range expense and revenue projections
Innovative with the ability to exercise good judgment in making independent decisions
Advanced administrative and computer skills for data and statistical analysis and word processing, spreadsheet and database management. Ability to adapt to and implement new technologies
Excellent communication and interpersonal skills; must have the ability to interact effectively with a wide variety of people from every level of the University structure and in many situations with outside groups (students, staff, coaches, senior administration, faculty, alumni,media, community, business leaders)
Required Knowledge
Must demonstrate the ability to conceptualize and implement new programs, interact at all levels within the organization, and effectively manage team budgets and human resources issues
Strong planning skills: ability to prioritize among many competing demands
Understanding health and safety needs of employees and participants
Comprehensive knowledge of related legislation, managing risk in a sport, compliance & eligibility
Comprehensive knowledge of OUA, USPORTS and university sport system
Required Education
Completion of a four year university degree in Sports Management, Kinesiology, Business Administration or a related field
An equivalent combination of education and experience would be considered
Required Experience
Minimum of three years experience working in University and/or high performance sport/leadership, sport & event management and athletics administration
Demonstrates experience coordinating game-day operations, scheduling, and logistics for multiple sports or venues
Experience managing operating budgets, purchasing, and contracts.
Experience supervising staff, student employees, and/or game-day/event workers
Experienced sport leader with excellent communication, organizational, relationship building and project management skills is preferred
Experience ensuring compliance with health and safety standards, risk management practices, and relevant legislation
