You’ve Learned How to Run a Dental Front End. Now Build What’s Next.
Some dental administrators do much more than answer phones and book appointments.
They know how to protect a productive schedule.
They understand insurance well enough to explain it without making promises the carrier may not keep.
They can discuss treatment and finances confidently.
They know when a patient needs extra attention.
They spot problems before they reach the dentist or manager.
And when the day changes — because dental days always change — they’re often the person who gets things back under control.
That’s the administrator we’re looking for.
Smiles Dental Group is looking for an experienced Dental Administrator to join our South Edmonton team.
We’re a locally owned Alberta dental group with eight locations serving more than 60,000 patients.
This opportunity is for someone who has already developed strong dental-administration skills and is ready for more ownership, continued development and a real path to greater responsibility.
$26–$31/hour , based on directly relevant dental experience and demonstrated capabilities
Monthly performance bonus opportunity
Extended health and dental benefits after three months
Wellness reimbursement
Paid continuing education and professional development
Paid vacation
Structured onboarding
Annual performance and development reviews
Regular compensation reviews
Modern dental technology and administrative systems
Direct access to local leadership
Defined opportunities to progress into senior administration, treatment coordination, accounts receivable, practice management and support-office roles
We’ll discuss the complete schedule, compensation, bonus criteria and advantages openly during the recruitment process.
Build Your Career in Dental Administration
You should not have to leave a good organization to keep advancing your career.
Because Smiles operates eight dental practices, we can create development opportunities that are difficult to offer within a single clinic.
Depending on your strengths, interests and performance, your career at Smiles may develop toward:
Treatment Coordination
Financial / Accounts Receivable Coordination
Administrative Training and Mentoring
Practice Management
Multi-location or Support-Office Opportunities
Not everyone wants to become a manager.
That’s completely fine.
Excellent administrators should also be able to deepen their expertise, take on greater responsibility and be recognized for becoming exceptionally good at what they do.
If you are ambitious, however, we want to know where you’d like your career to go.
Tell us what you want to be doing three years from now.
What You’ll Own
This isn’t a position where success means simply completing a checklist.
You’ll help own the patient experience and administrative performance of the practice.
That includes:
Protecting the Schedule
You’ll help build and maintain productive dentist and hygiene schedules.
You’ll anticipate openings, respond quickly to cancellations,
use short-notice opportunities effectively and help prevent avoidable gaps.
A full schedule isn’t created by accident.
Great administrators understand that.
Creating an Excellent Patient Experience
From the first phone call to checkout, patients should feel that they’re dealing with someone competent, organized and genuinely interested in helping them.
You’ll:
Welcome and communicate with patients professionally
Help patients understand what happens next
Follow up when appropriate
Help anxious or frustrated patients feel heard
Protect confidentiality and patient trust
Navigating Insurance & Financial Conversations
Insurance can be confusing.
You’ll help patients understand estimates, predeterminations, insurance limitations and balances accurately — without overpromising what an insurance company will pay.
You’ll also:
Verify insurance information
Submit and follow up on claims and predeterminations
Collect and post payments accurately
Communicate financial expectations respectfully and confidently
We want administrators who can talk about money professionally without becoming uncomfortable or making patients feel pressured.
Supporting Treatment Follow-Through
Good administration plays an important role in whether patients actually complete the care they’ve chosen.
You’ll help make sure treatment doesn’t disappear because nobody followed up.
That means communicating next steps clearly, helping patients schedule appropriately and following established processes for outstanding treatment.
Helping the Practice Run Better
If you see something that doesn’t make sense, we want you to say something.
You’ll participate in team huddles, communicate with clinical team members and help identify practical ways to improve:
Scheduling
Treatment follow-up
Insurance processes
Collections
Experience should give you a voice, not just a longer task list.
Who Thrives at Smiles
This opportunity is likely a strong fit if you’re an administrator who:
Thinks ahead rather than simply reacting to today’s problems
Knows how to recover cancellations and schedule gaps
Understands dental insurance and predeterminations
Can confidently discuss treatment estimates and patient balances
Communicates professionally when patients are upset
Pays attention to details without losing sight of the bigger picture
Follows through without needing repeated reminders
Takes ownership when something goes wrong
Is comfortable being held accountable for results
Wants feedback and continues improving
Helps teammates while remaining accountable for their own responsibilities
Wants their experience and ideas to matter
Is interested in building a long-term career
We’re looking for someone who doesn’t just ask:
“What do you need me to do?”
We’re looking for someone who also thinks:
“What needs to happen next?”
What Success Looks Like
During your first 90 days, we want you to become confident in our systems, team and workflows.
Over time, successful Smiles administrators:
Maintain accurate and productive schedules
Respond effectively to cancellations and openings
Keep recall and patient follow-up moving
Communicate insurance information accurately
Maintain accurate patient information and documentation
Help patients follow through with appropriate treatment
Collect payments professionally
Communicate problems before they become larger problems
Build trust with patients and teammates
Contribute ideas that improve the practice
Take increasing ownership of their responsibilities
Performance matters.
But so do judgment, reliability, communication and how you treat people.
What You Bring
Required
At least two years of dental administration experience , or equivalent demonstrated capability
Experience with dental scheduling and recall
Experience with insurance verification, predeterminations and claims
Experience discussing patient balances and collecting payments
Strong understanding of dental terminology and common dental procedures
Strong written and verbal communication
Excellent attention to detail
Sound judgment and discretion with confidential patient information
Ability to manage competing priorities without losing follow-through
Dentrix experience
Particularly Valuable
We’d especially like to meet you if you have experience with:
Treatment coordination
Presenting or discussing larger treatment plans
Accounts receivable
Complex insurance situations
High-volume or multi-provider practices
Schedule optimization
Training or mentoring other administrators
Dental leadership responsibilities
About Smiles Dental Group
Smiles Dental Group is a locally owned and growing Alberta dental organization with eight clinics serving Edmonton and surrounding communities.
Our size gives our administrators something that can be difficult to find in a single-location dental office:
somewhere to go next.
We have the resources and opportunities of a multi-location organization while maintaining local leadership and direct access to the people making decisions.
Strong performance gets noticed.
Good ideas are expected.
And when someone demonstrates that they’re capable of more responsibility, we want to have somewhere for them to grow.
The Person We’re Hoping to Meet
You may already have a dental administration job.
We’re interested in talking with you if you’re starting to wonder whether you’ve reached the ceiling where you are.
Maybe you want to learn treatment coordination.
Maybe you’re excellent at scheduling and want greater responsibility.
Maybe you want to understand the financial side of dentistry.
Maybe you eventually want to manage a practice.
Or maybe you simply want to work somewhere that recognizes the difference between an average administrator and an exceptional one.
If that sounds familiar, we’d have a conversation.
