Position Summary

The Unit Clerk provides administrative and clerical support to the nursing team and interdisciplinary care staff within a long-term care setting. This role serves as a key communication link between residents, families, physicians, nursing staff, and external service providers while ensuring accurate documentation, record management, and coordination of unit activities.

Key Responsibilities

- Administrative Support: Maintain resident records, charts, and electronic health records in accordance with organizational policies and privacy legislation. Process admissions, transfers, discharges, and resident-related documentation. Prepare, update, file, and distribute forms, reports, and correspondence. Ensure timely communication to appropriate departments.
- Communication and Coordination: Answer and direct telephone calls and inquiries professionally. Act as a liaison between residents, families, physicians, nursing staff, and allied health professionals. Schedule appointments, consultations, transportation, and diagnostic services as required. Receive and relay messages accurately and promptly.
- Support for Clinical Operations: Assist nursing staff with maintaining accurate census information and scheduling staff. Ensure availability of required forms and office and nursing supplies. Prepare reports and statistical information as requested. Coordinate unit meetings and maintain meeting minutes as required.
- Record Keeping and Compliance: Ensure confidentiality of resident information in accordance with Alberta privacy legislation and facility policies. Maintain organized filing systems and records. Support quality improvement and accreditation activities related to documentation.

Qualifications

- Education: Completion of a Unit Clerk, Medical Office Assistant, Health Unit Coordinator, or related administrative program.
- Experience: Minimum 1 year of clerical or administrative experience, preferably in healthcare or long-term care. Experience working with electronic health records and scheduling systems is preferred.
- Skills and Abilities: Strong organizational and time management skills. Excellent verbal and written communication skills. Proficiency in Microsoft Office Suite (Word, Excel, Outlook). Ability to manage multiple priorities in a fast-paced healthcare environment.



Strong attention to detail and accuracy. Ability to work independently and as part of an interdisciplinary team. Customer service-focused approach.
- Preferred Qualifications: Knowledge of Alberta Continuing Care standards. Experience with PointClickCare or other electronic health record systems. Understanding of medical terminology.
