OVERVIEW:
Reporting to the Support Work Program Manager, the Program Assistant provides administrative and operational support to the Support Work Program. The position plays an important role in supporting the day-to-day functioning of the program by coordinating administrative processes, maintaining programdocumentation and statistics, assisting with support worker documentation, and supporting the operation of the Family Visiting Homes.
KEYRESPONSIBILITIES:
Provide day-to-day administrative and operationalsupport to the Support Work Program, including monitoring the SWP RequestInbox, responding to inquiries, tracking correspondence, and directing mattersappropriately.
Maintain accurate and confidential electronic andphysical program records, documentation, filing systems, and programstatistics.
Prepare and organize support worker timesheets and documentation, assist with inquiries, and refer discrepancies or concernsappropriately.
Provide support and guidance to support workersregarding documentation requirements and established program processes.
Coordinate Visiting Home administration, including invoicing, cleaning schedules,
work orders, follow-up, and operational records.
Provide administrative support for car seatmanagement and program scheduling.
Assist with flight requests, including receiving, organizing, tracking, and communicating required flight information.
Maintain the training calendar, registrations, attendance, schedules, and training records for support workers and program staff.
Work collaboratively with program staff and partners, participate in meetings and initiatives, and follow organizational policies, procedures, confidentiality requirements, and established processes.
QUALIFICATIONS:
Experience providingadministrative or program support in a fast-paced environment isconsidered an asset.
Strong proficiencywith Microsoft Office, including Word, Excel, PowerPoint, Outlook, andMicrosoft Teams.
Strong organizationalskills with the ability to manage multiple priorities and deadlines.
Strong written andverbal communication skills.
Strong attention todetail and ability to maintain accurate documentation.
Effectiveproblem-solving skills and ability to exercise sound judgment.
Ability to workrespectfully and effectively with support workers, families, caregivers, community members, and organizational staff.
Demonstrate knowledgeand/or understanding of First Nations perspectives, culture, andphilosophies.
Must maintain a high levelof confidentiality.
Must have a clearchild and adult abuse registry checks, criminal record check withvulnerable sector search and Prior Contact Check, required.
Valid driver’s licenseand a reliable vehicle with a satisfactory driver abstract, required.
