ABOUT SERVICEXCEL
ServiceXCEL is Vancouver Island's quality-first HVAC contractor, serving the corridor from Duncan to Comox. We specialize in residential heat pump installations and service, and we've built a reputation for doing things right — technically, culturally, and for our community.

THE OPPORTUNITY
Our install and service crews can only do great work when the shop behind them is running smoothly. As Warehouse Coordinator, you own the systems that keep the whole operation moving — inventory, purchasing, fleet, warranties, and the physical shop itself. When it runs well, nobody notices. When it doesn't, everybody does. That's the responsibility of this role, and it's yours to carry.
This is a role for someone who builds systems and then runs them without being reminded. You keep lists. You close loops. When a distraction pulls you off task, you come back and finish. You take ownership of your environment and your outcomes — not because someone's watching, but because that's how you work.
A big part of the next year is helping us fully migrate to ServiceTitan's inventory and purchase-order workflows and optimizing how the warehouse runs. We're looking for someone who wants to make this role their own and be excellent at it. As the company grows, opportunities open up over time — and above all, we want someone who takes real pride in running a tight operation.

and you circle back until each one is closed.
- Ownership of your environment. You notice when things are out of place and fix them without being asked. Your space reflects how you think.
- Calm under pressure. When the day goes sideways — a late delivery, a broken-down van, a last-minute parts run — you adjust and solve. You don't freeze or escalate unnecessarily.
- Always improving. You don't just maintain things — you look for a better way. If a process doesn't make sense, you say so and bring a suggestion.

- Physically capable and smart about it. Physical work doesn't intimidate you. You know how to lift and move properly, and you're comfortable figuring out how to get awkward loads where they need to go.
Requirements:
- Exceptional organization and follow-through — this is the most important quality, full stop
- Must pass a driving abstract. Valid Class 7 (N) driver's licence or higher, with a clean record.
- Must pass a criminal record check. A satisfactory result is a condition of employment.
- Comfortable operating a stand-up forklift (certification preferred, or willingness to get certified on the job)
- Solid computer skills; comfortable learning and living in ServiceTitan day to day
- Able to handle materials physically — moving pallets and equipment is real work, but technique matters more than size
Nice to have(not required):
- Background in warehousing, logistics, inventory systems, fleet coordination, or a trades environment
- Sheet metal, HVAC, or general trades aptitude — handy for backfilling gaps as they come up
- Basic automotive know-how — useful given the fleet side of the role
WHAT YOU'LL DO Warehouse & inventory
- Own the warehouse — stock levels, organization, cleanliness, and yard tidiness as a professional standard
- Lead our migration to ServiceTitan's inventory and purchase-order workflows, and optimize warehouse processes as we grow into them
- Own procurement execution to agreed stocking levels and budget — keep parts stocked, tracked, and available without excess or shortage
- Prepare and stage job packs and materials for each install the day prior so every crew leaves ready to go
- Receive returned materials physically and in ServiceTitan to keep job costing accurate
- Manage tool sign-out and return; maintain a clear picture of what's where
- Own salvage and scrap recovery — identify, track,
and reclaim reusable parts and materials to reduce waste and cost
Parts, purchasing & warranties
- Place and manage vendor and parts orders; manage delivery timing, track parts against jobs, and flag pricing or sourcing issues
- Keep pricebook material costs current in ServiceTitan with vendor pricing updates (roughly three times per week)
- Continuously look for ways to improve our sourcing — better pricing, better terms, more reliable supply
- Own warranty claim processing and cost recovery — file with vendors, arrange return shipping, and follow up until resolved to maximize recovery and minimize material loss
Fleet coordination
- Own daily fleet readiness — keep company vehicles fueled, inspected, maintained, and road-ready so field operations run without delays or safety issues
- Coordinate repairs and scheduled maintenance between techs and shops
- Handle basic vehicle checks (oil, tire pressure, cleanliness) and catch problems before they become bigger ones
- Ensure vans are clean, stocked, and set up properly for the crews using them
Shop & building upkeep
- Keep the shop and building in good working order — routine upkeep, garbage, and a shared rotation for washroom cleaning
- Coordinate miscellaneous building improvements and maintenance as they come up
Accountability
- Hold technicians to account when they miss steps that affect inventory, job costing, or vehicle readiness — chase down the missing return, the unlogged part, the skipped check
COMPENSATION & BENEFITS Starting wage is $20/hr through the 90-day probation period. Once you're running the seat independently, the target rate is the local living wage ($24.40/hr).
