Responsibilities:
- Prepare, process, submit and reconcile warranty claims accurately and within manufacturer timelines.
- Review repair orders to ensure warranty documentation, labour codes, parts, pricing and vendor information are complete and accurate.
- Ensure warranty claims comply with manufacturer policies and requirements.
- Return incomplete or inaccurate repair orders for correction and follow up on timely resolution.
- Investigate rejected warranty claims, make corrections and resubmit promptly.
- Monitor warranty accounts receivable and follow up on outstanding claims to ensure timely payment.
- Prepare monthly aged warranty receivable reports and provide status updates to management.
- Ensure compliance with manufacturer scrap-parts retention and return requirements.
- Maintain accurate warranty claim and parts records.
- Attend manufacturer warranty training to stay current on policies and requirements.
- Identify and report potential warranty errors, abuse or fraud to management.
- Assist Service Advisors during peak periods as required.
- Maintain professional standards and effective communication with Service, Parts, Body Shop and management teams.
- Perform other duties as assigned by management.
Qualifications:
- Strong attention to detail and accuracy.
- Excellent administrative, organizational and time-management skills.
- Previous automotive dealership or warranty administration experience preferred.
- Working knowledge of manufacturer warranty claims and procedures.
- Ability to interpret and follow detailed manufacturer guidelines and documentation requirements.
- Strong problem-solving and follow-up skills.
- Ability to manage multiple priorities and meet strict deadlines.
- Strong communication and interpersonal skills.
- Ability to work effectively with Service, Parts, Body Shop and management teams.
- Professional appearance and attitude.
- Ability to work with urgency, including outside regular hours or on shifts when required.
- Ability to work effectively in a fast-paced dealership environment and respond to time-sensitive issues.
- Willingness to participate in ongoing manufacturer training.
