Administrative Support IV - Immunization Booking OfficeThis position will be located onsite in the Immunization Booking Office. The successful candidate will be responsible for coordinating and scheduling casual nurses and casual administrative support staff into various sites throughout Edmonton and surrounding areas to support Mass Immunization Programs and other areas within Edmonton Public Health, as required. Responsibilities include, but are not limited to, coordinating staffing requirements across multiple programs and sites while balancing operational needs, staff availability, and scheduling priorities. The successful candidate will exercise independent judgment to resolve scheduling issues and identify solutions within established processes and guidelines. Duties include scheduling casual nursing and administrative support staff; providing a high level of customer service; communicating with clinical and administrative support staff; entering staff availability and assigned shifts; generating reports and compiling statistics; processing payroll timeentry; maintaining the scheduling database; and completing other general office support duties as required. Shifts are 7.75 hours in length and are scheduled between 7:00 a.M. and 5:00 p.M. Employees work a 12-week rotating schedule that includes day, evening, and weekend shifts, Monday through Sunday. Regular weekend work is a requirement of this position, and successful candidates must be available to work all scheduled shift patterns, including weekends and may include statutory holidays,

Previous experience performing staffing, workforce coordination, or similar administrative functions. Strong computer skills, including proficiency with Microsoft Outlook, Teams, Excel, and Word. Excellent written and verbal communication skills. Strong interpersonal, organizational, problem-solving, and time management skills, with the ability to manage multiple competing priorities. Strong attention to detail and a high degree of accuracy. Ability to maintain confidentiality and exercise discretion when handling sensitive employee information. Ability to perform the physical requirements of the position, including extended periods of keyboarding and periods of sitting, standing, and moving within an office environment. Selection Process: Shortlisted candidates will be required to complete a computer-based skills assessment designed to evaluate skills required for this position. A minimum score of 80% is required to proceed to the interview stage.Preferred Qualifications:Knowledge of TeleStaff and/or Workforce Management (WFM) scheduling systems. Knowledge of SharePoint. Experience interpreting and applying collective agreements. Experience coordinating staffing across multiple sites or programs.
