Job Posting –Estate Planning, Probate and Estate Administration Senior Legal Assistant or Junior Paralegal
Onyx Law Group is a boutique family law and estate law firm in downtown Vancouver and New Westminster that prides itself on its work culture of mentorship and collegiality. Position will be at our downtown Vancouver location, with some flexibility to having a hybrid role, working part-time from home.
We are looking to hire a regular part-time or full time Senior Legal Assistant or Junior Paralegal who will have the following duties/responsibilities:
1. Client intake for new potential clients;
2. Client identification and verification tasks;
3. Onboarding new clients;
4. Drafting letters and other documents from templates;
5. Corresponding with third parties regarding information/document requests;
6. Drafting probate application documents, from templates;
7. Filing applications with the probate registry - online or through a filing agent;
8. Commissioning affidavits with clients (having commissioners licence/stamp would be an asset);
9. Knowledge and experience with the probate process and the estate administration process would be an asset;
10. Organizing digital and paper file documents (saving and naming files consistently, foldering, etc);
11.
Drafting estate planning documents, such as wills, enduring power of attorney agreements, and representation agreements, from templates;
12. Coordinating client appointments;
13. Managing and keeping up-to-date task lists/file statuses;
14. Filing Notice to Creditors in the BC Gazette;
15. Preparing Reporting letters from templates and incorporating notes from the file;
16. Managing own time keeping with requisite detail and a value-oriented approach/style;
17. Performing BC Online searches for corporate summaries, title search and PPSA searches;
18. Preparing authorizations/FOI documents on clients’ behalf;
19. Stripping/closing files;
20. Performing wills notice and other searches from Vital Statistics;
21. Working with outside vendors such as couriers and agents;
22. File management including assistance with review of bills, drafting invoice cover letters, and managing monetary retainers and their replenishment; and
23. Generally, assisting in a variety of administrative tasks as they arise.
Qualified candidates will have attained a Legal Assistant or Paralegal Certificate or Diploma and have at least 2 years experience working in a legal administration role. Please provide a cover letter, resume, list of references and transcripts to and to apply.
