Shermco Canada is seeking a Temporary Receptionist to support day-to-day office operations at our Regina office for a minimum 3-month assignment. This position will provide front desk coverage, administrative coordination, office supply support, mail and courier support, and general assistance to internal teams.
This role is well suited for someone who is organized, reliable, professional, and comfortable supporting a busy office environment while serving as the first point of contact for visitors, employees, customers, and vendors.
Position Summary
The Temporary Receptionist will support the Regina office by welcoming visitors, answering and directing calls, managing mail and office supplies, coordinating kitchen and facility inventory, supporting onboarding package preparation, and assisting with administrative tasks as required.
The successful candidate will help maintain a professional, organized, and welcoming office environment throughout the temporary assignment.
Responsibilities:
Reception and Front Desk Support
- Welcome clients, visitors, vendors, employees, and guests upon arrival and provide courteous, professional assistance.
- Answer, screen, and direct incoming calls for Shermco Industries Canada Inc. in a timely and professional manner.
- Maintain a clean, organized, and welcoming reception area.
- Assist visitors and employees with general questions, directions, sign-in processes, and meeting room coordination as needed.
- Provide general administrative support, including filing, scanning, document preparation, correspondence, and other clerical duties.
Mail, Courier, and Shipping Support
- Receive, open, sort, and distribute incoming mail to the appropriate employees or departments.
- Prepare outgoing mail and courier packages as required.
- Prepare, stamp, and mail cheques as requested by the Accounting department.
- Support shipping and receiving activities, including receiving packages and notifying employees of incoming deliveries.
- Maintain organized records of mail,
courier, and shipping activity where required.
Office Supplies, Kitchen, and Facility Support
- Restock refrigerators and snack supplies on a daily basis.
- Monitor, order, and maintain coffee supplies for the corporate and Regina office.
- Track inventory levels for refrigerators, snacks, coffee, kitchen supplies, and related office items.
- Order facility supplies for the Regina office and maintain appropriate inventory levels.
- Order office supplies for the Regina office and ensure supplies are available for employees and visitors.
- Identify general office maintenance or cleanliness needs and escalate requests to the appropriate internal contact.
Onboarding and Employee Support
- Maintain inventory of new-hire packages and related onboarding materials.
- Prepare and send new-hire packages in a timely manner.
- Support HR, recruitment, and office leadership with administrative tasks related to onboarding, employee communications, and office coordination.
- Help create a positive first impression for new employees joining the Regina office.
Vendor, Cleaner, and Event Coordination
- Respond to requests and coordinate assigned tasks for the part-time cleaner.
- Coordinate food orders for training sessions, meetings, employee events, and office activities as requested.
- Assist with vendor coordination for office, kitchen, courier, facility, and supply needs.
- Support internal meetings and training sessions with room setup, refreshments, supplies, and cleanup coordination as required.
Accounting, Invoice, and Reporting Support
- Reconcile the monthly Sask Tel Mobility invoice and follow up on discrepancies or required information.
- Assist with basic administrative coordination for accounting-related tasks as requested.
- Track waste, power, and energy consumption for Canadian offices to support sustainability reporting and internal initiatives.
- Maintain accurate records, spreadsheets, and supporting documentation for reporting purposes.
Qualifications:
- High school diploma or equivalent is required.
- Previous experience in a receptionist, front desk, office administrator, customer service, or administrative support role is preferred.
- Strong verbal and written communication skills.
- Qualified phone etiquette and a customer-service focused approach.
- Proficiency with Microsoft Office applications, including Outlook, Word, and Excel.
- Strong organizational skills with the ability to manage multiple priorities.
- Ability to maintain confidentiality when handling employee, financial, vendor, or business information.
- Experience with invoice review, office supply ordering, inventory tracking, or general office coordination is considered an asset.

Working Conditions

- Regular hours of work are 8:00 a.m. to 4:30 p.m., Monday to Friday, with a 30-minute unpaid lunch break.
- The position involves regular use of a computer, phone, office equipment, mailroom supplies, and general office materials.
- The role may involve occasional lifting, carrying, or moving of office supplies, courier packages, kitchen supplies, or onboarding materials.
- Any overtime must be pre-approved and will be paid in accordance with Saskatchewan employment standards.
