Job Overview The Academic Manager is responsible for overseeing the day-to-day academic operations and delivery of OIHI’s programs, ensuring a high standard of academic quality, student support, faculty performance, and regulatory compliance. This role provides operational leadership to Program Leads and faculty while working closely with the Academic Associate Dean and cross-functional departments to ensure programs are delivered effectively and in accordance with institutional policies, curriculum requirements, and applicable Ontario career college regulations.

The Academic Manager serves as a key point of contact for academic operations, supporting faculty and students, addressing day-to-day academic matters, coordinating scheduling and faculty coverage, and identifying opportunities to improve operational efficiency and the student learning experience. The role also supports academic quality assurance, faculty development, program reviews, audits, and regulatory requirements.

Key Responsibilities

Academic Operations & Efficiency

- Oversee the day-to-day academic operations and delivery of OIHI programs.
- Maintain a strong on-campus presence and provide timely support to students, faculty, and Program Leads.
- Ensure programs and courses are delivered according to approved schedules, curriculum requirements, institutional policies, and applicable regulatory requirements.
- Monitor academic operations, identify issues and inefficiencies, and implement practical solutions.
- Manage Program Leads and ensure consistent and effective program delivery.




- Coordinate with Scheduling and other departments to support effective faculty and course scheduling.
- Resolve day-to-day academic operational issues and escalate significant matters to the Associate Dean as required.
- Teach or provide instructional coverage when required to support continuity of program delivery.

Faculty Management

- Provide day-to-day supervision and support to Program Leads and faculty.
- Support faculty recruitment, interviewing, onboarding, orientation, and scheduling.
- Monitor faculty performance, teaching quality, attendance, engagement, and compliance with academic expectations.
- Provide coaching, feedback, and performance support as required.
- Coordinate faculty coverage and address faculty-related delivery issues.
- Support faculty development and maintain required faculty documentation and qualification records.

Student Success

- Monitor and support interventions related to attendance, academic performance, progression, and retention.
- Ensure students receive timely and consistent academic support and communication.
- Support academic appeals and other academic processes in accordance with institutional policies.
- Collaborate with Student Success, Registration, Admissions, Financial Aid, and other departments to resolve student issues.

Academic Quality

- Monitor the quality and consistency of teaching, assessment, and program delivery.
- Conduct or coordinate classroom observations and academic quality reviews.
- Review student and faculty feedback and follow up on identified academic concerns.
- Support consistent academic practices across programs and identify opportunities for continuous improvement.
- Work with Program Leads, faculty, and the LMS Specialist to maintain effective in-person, synchronous, and asynchronous learning experiences.

Compliance

- Support academic preparation for program audits, regulatory reviews, inspections, and internal quality reviews.
- Ensure academic operations, faculty files, student academic records, and program documentation meet institutional and Ontario career college regulatory requirements.
- Monitor academic compliance requirements and address identified gaps in a timely manner.
- Maintain organized and audit-ready academic documentation.




- Support program reviews and required corrective actions.

Qualifications

- Bachelor's degree in education, business administration, healthcare, or a related field; a master's degree is an asset.
- Previous academic management or academic operations experience within an Ontario career college is required.
- Demonstrated knowledge of the Ontario career college regulatory and operating environment.
- Minimum 3–5 years of relevant postsecondary academic operations, program management, or faculty management experience, including supervisory or leadership responsibilities.
- Experience managing healthcare, medical, clinical, or other vocational programs is a strong asset.
- Demonstrated experience managing faculty and supporting multiple programs or student cohorts.
- Experience with academic quality assurance, student academic issues, regulatory compliance, and program audits.
- Strong operational, organizational, problem-solving, and people-management skills.
- Ability to work effectively in a fast-paced, student-focused environment and manage competing priorities.
- Experience with Learning Management Systems (LMS) and Student Information Systems (SIS) is an asset.
- Ability and willingness to teach or provide instructional coverage when operationally required.
- Ability to work fully on-site.

Working Conditions: This is a full time, fully on-site position requiring a consistent presence on campus to support students, faculty, Program Leads, and day-to-day academic operations.
