SCOPE OF WORK — ACCOUNT MANAGER The Account Manager is responsible for the day-to-day management, communication, coordination, and overall health of assigned client accounts. The Account Manager acts as the primary connection between the client and Agency Atlas, ensuring client priorities are understood, internal teams are aligned, projects remain on track, and issues are identified and addressed proactively.

CLIENT RELATIONSHIP MANAGEMENT The Account Manager will:

- Serve as the primary day-to-day contact for assigned clients.
- Develop a strong understanding of each client’s business, goals, priorities, expectations, and ongoing marketing needs.
- Maintain regular, proactive communication with clients rather than relying on clients to request updates.
- Respond to client questions, requests, and concerns promptly and professionally.
- Lead or participate in regular client meetings, status calls, planning sessions, and reviews.
- Build trusted relationships that position Agency Atlas as a knowledgeable and dependable extension of the client’s team.
- Manage client expectations regarding timelines, deliverables, budgets, scope, and agency capacity.
- Recognize changes in client satisfaction, priorities, or expectations and address or escalate them appropriately.

ACCOUNT OVERSIGHT & PRIORITIZATION The Account Manager will:
- Maintain a clear understanding of all active and upcoming work across assigned accounts.
- Identify what is urgent, what is important, and what requires internal attention.
- Ensure client priorities are clearly communicated to Project Managers and relevant department heads.
- Anticipate upcoming client needs, campaigns, deadlines, launches, events, seasonal requirements, and other important milestones.
- Identify potential risks, delays, scope concerns, or client issues before they negatively affect the relationship or deliverables.
- Ensure outstanding client requests and commitments are followed through to completion.
- Help clients prioritize competing initiatives when necessary.
- Maintain awareness of account budgets, scopes, retainers, approved work, and additional requests that may require quoting or approval.

PROJECT MANAGEMENT LEADERSHIP The Account Manager will work closely with assigned Project Managers to ensure the successful execution of client work.

Responsibilities include

- Provide Project Managers with clear direction regarding client priorities and expectations.
- Ensure Project Managers have the information, approvals, assets, and context required to move work forward.
- Review project status regularly and identify anything that is delayed, at risk, over budget, or awaiting action.

- Hold Project Managers accountable for maintaining accurate timelines, tasks, deliverables, and project information.
- Help resolve conflicts between client priorities, timelines, budgets, and available resources.
- Ensure important client commitments are accurately reflected within the agency’s project management systems.
- Escalate significant delivery, capacity, quality, or budget concerns to leadership when required.

The Account Manager owns the client relationship while the Project Manager owns the day-to-day coordination and execution of individual projects. Both roles are expected to work closely together to ensure nothing falls between them. DEPARTMENT COORDINATION The Account Manager will work directly with department heads and senior team members to ensure visibility across all assigned accounts.

This includes

- Communicating upcoming client needs and priorities.
- Providing appropriate context around client expectations and objectives.
- Identifying upcoming workload and resource requirements.
- Flagging urgent or high-priority deliverables.
- Communicating changes in scope, timing, strategy, or client direction.
- Ensuring relevant departments understand what is coming next, not simply what is due today.
- Bringing department concerns, recommendations, or limitations back to the client when appropriate.
- Helping ensure work moving between departments remains coordinated and aligned.

CLIENT MEETINGS & COMMUNICATION The Account Manager will:
- Prepare for and lead client meetings as appropriate.
- Ensure meetings have clear objectives and priorities.
- Capture decisions, commitments, action items, and required follow-up.
- Ensure internal teams are informed of decisions made during client conversations.
- Follow up with clients regarding outstanding approvals, information, assets, or decisions.
- Communicate delays or challenges proactively rather than waiting for clients to identify them.
- Ensure communication is clear, professional, accurate, and consistent with Agency Atlas standards.

STRATEGIC ACCOUNT SUPPORT The Account Manager is expected to understand the broader marketing objectives of assigned clients and contribute to strategic discussions.

This includes

- Recognizing opportunities to improve client marketing efforts.

- Connecting client challenges with appropriate Agency Atlas services or expertise.
- Bringing relevant department heads or specialists into conversations when deeper expertise is required.
- Participating in campaign, quarterly, annual, and other strategic planning.
- Identifying opportunities for additional projects, services, or initiatives where they provide genuine value to the client.
- Supporting leadership with proposals, scopes, estimates, and account planning as required.

QUALITY & CLIENT SATISFACTION The Account Manager shares responsibility for ensuring the quality of the client experience.

The Account Manager will

- Maintain awareness of the quality and status of work being delivered.
- Ensure deliverables appropriately address the client’s objectives and expectations.
- Identify work that may require additional review before being presented to the client.
- Communicate client feedback clearly and constructively to internal teams.
- Address recurring quality, communication, or process issues.
- Monitor overall client satisfaction and escalate concerns before they threaten the relationship.
- Advocate for the client internally while also protecting the agency from unreasonable expectations, unnecessary scope expansion, or unrealistic timelines.

ACCOUNTABILITY & REPORTING The Account Manager is responsible for maintaining a current understanding of the overall health of each assigned account. At any given time, the Account Manager should be able to clearly communicate:
- What the client’s current priorities are.
- What work is currently underway.
- What is coming up next.
- What is waiting on the client.
- What is waiting on Agency Atlas.
- What projects or deliverables are at risk.
- Where there are budget, scope, timeline, resource, or quality concerns.
- How the client relationship is performing overall.
- What opportunities or concerns require leadership attention.

GENERAL EXPECTATIONS The Account Manager is expected to operate proactively, professionally, and collaboratively. Success in this position requires strong communication, organization, accountability, sound judgment, and the ability to manage multiple clients and priorities simultaneously.

The Account Manager is not expected to personally execute every client deliverable. Their responsibility is to ensure the right people are involved, priorities are understood, communication is clear, commitments are honoured, and both the client and Agency Atlas team have what they need to succeed.
