About the Role
We're looking for a detail-oriented, highly organized professional to take over a combined Accounts Payable and Administrative Assistant/Secretary role, following the retirement of a long-tenured team member. This is a dual-function position: roughly half accounts payable processing, half front-office and administrative support. It's a great fit for someone who enjoys variety, takes ownership of their work, and is comfortable being the go-to person in a the office.
Key Responsibilities
Accounts Payable
- Process vendor invoices: match to purchase orders, code to correct GL accounts, and enter Sage
- Prepare and process payment runs (cheques and EFT)
- Reconcile vendor statements and resolve discrepancies or disputes
- Maintain organized AP files and documentation for audit purposes
- Respond to vendor inquiries and maintain positive vendor relationships
- Assist with month-end AP close and reporting as needed
Administrative / Executive Support
- Manage front office and reception: answer and direct phone calls, greet visitors
- Provide administrative support to senior management, including calendar management and meeting coordination
- Draft, format, and proofread correspondence, reports, and documents
- Order and maintain office supplies and coordinate general office upkeep
- Maintain company filing systems (physical and digital)
- Support basic HR administrative tasks (e.g., onboarding paperwork, filing)
- Handle confidential information with discretion
Qualifications
- 2–3 years of experience in accounts payable and/or an administrative/executive assistant role (combination of both is a strong asset)
- Working knowledge of Sage accounting software required
- Strong proficiency in MS Office (Excel, Word, Outlook)
- Excellent organizational skills and attention to detail
- Solid written and verbal communication skills
- Ability to multi-task, prioritize, and manage competing deadlines
- Professional, reliable, and comfortable working independently
- High school diploma required;business administration certificate/diploma an asset
