We are seeking an experienced and detail-oriented Accountant to oversee our financial operations and maintain order across the day-to-day accounting and administrative functions of two corporate entities within the construction industry.
In this role, you will be the administrative backbone of the companies—managing complex QuickBooks operations, financial models, tax compliance and vendor relationships, while keeping overall office systems running seamlessly. You will work alongside a dedicated support staff who handles frontline billing and payment processing, allowing you to focus on high-level oversight, reporting, accuracy, and operational efficiency.
Key Responsibilities
Financial Oversight & Accounting
- Manage full-cycle accounting in QuickBooks Online (AR, AP, bank recs, journal entries, accruals, etc).
- Collaborate with construction project managers to record construction project costs. Maintain WIP schedule and working papers for percentage of completion accounting. Manage holdback payments.
- Prepare monthly financial and cash flow reports.
- Prepare and file tax obligations including HST and payroll tax remittances.
- Prepare year end files and working papers for corporate tax filing by external accounting firm.
- Process payroll, WSIB, ROE, T4, T5018, etc.
- Adhoc reports as needed.
- Handle payment runs, approval setups, and vendor payments.
- Provide oversight and reconciliation support for the support staff handling client billing and receivable collections.
Office & Administrative Management
- Manage annual commercial insurance renewals, policies, and compliance audits.
- Oversee and maintain company filing systems (both physical cabinet archives and organized digital cloud drives).
- Track and manage all major corporate deadlines (statutory filings, licensing, contract renewals, tax dates).
- Monitor executive inboxes and company channels to ensure critical incoming communications are prioritized and answered.
- Act as the primary administrative point-of-person for anything coming into or affecting the office.
Qualifications & Requirements
- Experience: 3+ years of relevant accounting experience is preferred.
- Education: Bachelor's Degree in Accounting or Finance is preferred.
- Software Expertise: Expert-level mastery of QuickBooks Online and advanced proficiency in Microsoft Excel.
- Tax & Compliance: Strong working knowledge of Canadian tax compliance (HST/GST filing, payroll taxes).
- Organizational Skills: Exceptional attention to detail with a proactive approach to managing deadlines, vendor relationships, and documentation.
- Communication: Clear verbal and written skills for managing vendor relations and communicating key financial insights to leadership.
