Overview
Reporting to the Program Director, The Administrative Coordinator for the Maternal, Newborn and Child program is responsible for the overall coordination of several functions to support the MNC program including administration, equipment and supplies across in and outpatient programs in paediatrics, neonatal intensive care unit and the family birthing centre.
The Administrative Coordinator acts as a systems support person to the MNC program.
The Administrative
Coordinator functions collaboratively with nursing leadership teams and point of care staff across the MNC portfolio and other support services.
The Administrative Coordinator is responsible for supplies management, cost analysis, capital equipment management and generating costing reports, ensuring adequate supply and equipment inventory to enable seamless operations and foster patient safety. The administrative coordinator works closely with unit staff and MNC leadership to ensure adequate equipment and supplies are readily available, and problem solves back order issues with internal and external stakeholders including vendors.
The Administrative
Coordinator independently generates and analyzes costing information related to the inventory and supplies management and provide cost analysis for changes in inventory usage. The Coordinator ensures timely follow up on critical items required for clinical care. They are responsible for developing and maintaining processes to track equipment and ensure equipment is readily available for daily operations.
They organize the day-to-day operational responsibilities that supports inventory management and promotes and preserves an environment, which facilitates efficient and effective materials management.
The Administrative Coordinator will also uphold the principles of patient-centred care by ensuring principles of patient-centred care are available and accessible; by maintaining effective collegial relationships and inter-departmental partnerships, by ensuring a safe and comfortable environment, and by demonstrating courtesy in every interaction.
The Administrative
Coordinator will uphold human and material resources by demonstrating knowledge and skill in the facilitation, organization and analysis of information to optimize equipment and supplies management.
The Administrative
Coordinator is also accountable for personal development and is accountable for their respective individual activities.
EDUCATION
- Post Secondary in Office Administration or equivalent required.
- Undergraduate degree preferred.
- Project management certificate preferred.
Qualifications
- 5 years of recent relevant experience (within a healthcare setting) in an administrative role
- Demonstrated ability to work flexible hours to accommodate departmental operational needs required.
- Proven customer service orientation; must be friendly and demonstrate professionalism at all times.
- Proven project management and organizational skills is required with the ability to juggle multiple priorities, manage time wisely, work well independently and track progress of initiatives.
- Demonstrated accountability including collaborative problem solving, effective decision making and sound critical thinking skills required.
- Proven ability to develop and maintain relationships with internal and external partners and to work effectively ina team-based environment required.
- Demonstrated excellent interpersonal skills with ability to identify and handle emotionally charged or politically sensitive issues appropriately, required.
- Excellent effective written and verbal communication skills including proficiency in preparing agendas, taking minutes, drafting written correspondence, and designing organizing systems is required.
- Demonstrated computer literacy, proficient in all programs in Microsoft Office, including Microsoft 365,
isrequired; website management is an asset.
- Demonstrated proficiency with the ARIBA ordering system preferred.
