We are currently seeking a full-time Financial Administrative Assistant to join our Operations team. This role provides day-to-day support to a senior associate in managing client business, assists the administrative department as needed, and contributes to company ad hoc events.
Position Overview
We are seeking a full-time Administrative Assistant to join our Operations Team. This role plays a key part in supporting the efficiency of the brokerage by managing client information, processing documentation, and coordinating administrative activities. The position also supports the Operations Team in enhancing business processes, marketing initiatives, reporting, and front desk operations.
Key Responsibilities
Serve as the first point of contact at the reception desk for advisors, staff, and clients
Answer incoming calls and provide general administrative support
Manage and distribute incoming and outgoing correspondence (physical and electronic)
Maintain and organize client files, transaction records, and documentation
Coordinate calendars, meeting schedules, and boardroom bookings
Perform accurate data entry and maintain up-to-date client profiles in the CRM system
Communicate professionally with advisors, clients, and business partners to support ongoing and pending business
Provide administrative support for insurance and investment operations
Liaise with advisors and insurance providers to process new business (life, disability, critical illness, and investments)
Track and follow up on investment loan applications and T2033 transfers
Prepare weekly, monthly, and annual sales and production reports
Assist with event planning and team training coordination
Maintain office supplies, organization, and general office upkeep
Participate in training and development opportunities
Perform other administrative duties as required
Qualifications & Skills
Minimum 1 year of administrative experience (finance industry experience is an asset)
Strong written and verbal communication skills
Excellent organizational, planning, and time management abilities
High attention to detail and accuracy
Ability to work effectively in a fast-paced workplace
Capable of working both independently and collaboratively
Proficient in Microsoft Office Suite
Strong research, problem-solving, and administrative skills
Fluent in English and Cantonese
LLQP license or willingness to obtain is an asset The Ideal Candidate
