Role Description The Administrative Assistant is a full-time, hybrid role based in Toronto, ON, with the option to perform some duties from home. This role provides day-to-day administrative and clerical support to lawyers and other team members, including managing calendars, scheduling meetings, and organizing files (electronic and paper).
Responsibilities include answering and directing phone calls, greeting visitors, handling incoming and outgoing correspondence, and preparing basic legal and office documents.
The Administrative
Assistant maintains office supplies, coordinates couriers and mail, updates databases, and assists with billing or document formatting as needed.
The role requires consistent attention to detail, a professional demeanor, and the ability to prioritize tasks in a fast-paced legal environment.
Qualifications
- Strong Administrative Assistance and Clerical Skills, including scheduling, filing, document preparation, and data entry.
- Professional Phone Etiquette and Communication skills, with the ability to interact clearly and respectfully with clients and colleagues.
- Experience providing Executive Administrative Assistance, such as calendar management, meeting coordination, and confidential document handling.
- Proficiency with office software (e.g., Microsoft Office suite) and comfort working with digital document management systems.
- High level of accuracy, organization, and time management, with the ability to handle multiple priorities.
- Previous experience in a law firm or qualified services environment is an asset.
- Completion of a post-secondary program in office administration, legal assistant studies, or a related field is preferred.
- Ability to work both independently and collaboratively in a hybrid work setting, maintaining reliability and discretion.
