Position Overview

We are seeking a friendly, organized, and hands-on Administrative Assistant to support the day-to-day activities of our London campus. The role involves general administrative support as well as working directly with prospective students, students, employers, and community contacts.

The successful candidate should be comfortable communicating with people, following up on inquiries, maintaining records, assisting with admissions activities, and supporting the college's outreach and recruitment efforts.

Responsibilities

- Provide day-to-day administrative support for the campus and assist with general office operations.
- Respond to telephone, email, online, and in-person inquiries from prospective and current students.
- Provide information about college programs, admission requirements, tuition, schedules, and available funding options.
- Speak with prospective students to understand their educational and career interests and provide appropriate program information.
- Assist prospective students with the admissions and enrolment process, including applications and required documentation.
- Follow up with prospective students regarding inquiries, appointments, applications, documents, and enrolment.
- Schedule student appointments, consultations, campus visits, information sessions, and meetings.
- Maintain accurate student, inquiry, application, and contact records using college systems and CRM software.
- Prepare and organize routine documents, forms, correspondence, reports, and other administrative materials.




- Maintain organized electronic and physical files and ensure information is kept up to date.
- Assist with student recruitment activities and promote college programs to prospective students.
- Participate in career fairs, community events, information sessions, networking activities, and other outreach initiatives when required.
- Communicate with local employers, community organizations, employment service providers, and referral partners to introduce college programs and maintain professional relationships.
- Assist with arranging meetings and follow-up with employers, community organizations, and other external contacts.
- Conduct routine telephone and email follow-ups with prospective students, community contacts, and referral partners.
- Maintain records of outreach, appointments, inquiries, and follow-up activities.
- Assist with identifying opportunities to increase awareness of college programs within the local community.
- Provide professional and courteous customer service to students, prospective students, and external contacts.
- Help maintain a welcoming, organized, and professional campus environment.
- Handle routine questions and concerns and refer matters to the appropriate person when necessary.
- Maintain confidentiality of student and college information.
- Complete other related administrative and campus support duties as assigned.

Qualifications




- Minimum 3 years of experience in administration, customer service, admissions, recruitment, sales, business development, education, or a related field.
- Excellent communication and interpersonal skills.
- Robust organizational skills and attention to detail.
- Comfortable speaking with students, employers, community organizations, and other contacts.
- Ability to manage multiple tasks and follow up consistently.
- Comfortable working independently as well as part of a team.
- Experience with Microsoft Office and standard business software.
- Experience with CRM or student information systems is an asset.
- Valid driver's licence and reliable transportation would be an asset.

Preferred Experience
- Experience in education, career colleges, admissions, recruitment, or student services.
- Experience in customer service, consultative sales, or business development.
- Experience working with community organizations or employment service providers.
- Familiarity with government-funded training or employment programs.
- Knowledge of the London-area business and community sector is an asset.
