- Vice-President (Academic) is currently seeking a Full-time Regular Advisor.
The Office of Signature Learning Experiences (OSLE) is a central hub at the University of Calgary dedicated to connecting every student with transformative learning experiences that extend beyond the classroom.
OSLE advances four Signature Learning Experiences: work-integrated learning, undergraduate research, entrepreneurial thinking, and global experiences, in close partnership with academic units and external organizations. By providing visible, accessible leadership and shared infrastructure, OSLE enables UCalgary to offer these high-impact opportunities to students at scale, and equips graduates with the curiosity, confidence, and real-world experience to shape what comes next.
The Advisor, Signature Learning Experiences is a student-centred role that provides direct guidance and holistic support to undergraduate and graduate students across majors exploring and participating in global experiences, undergraduate research, work-integrated learning and entrepreneurial thinking. Reporting to the Manager, Student Success, the Advisor works closely with students to navigate experiential learning pathways, understand program expectations, and make informed decisions that align with their academic, personal, and qualified goals.
The Advisor, Signature Learning Experiences guides students through all phases of the experiential learning process from exploration and application to participation and reflection across the full range of OSLE programming. The role collaborates with faculty members, academic and administrative units, and international partners to ensure students receive accurate information, timely support, and access to high-impact learning experiences that foster skill development, personal growth, and academic success.
The role demands exceptional interpersonal skills, cultural competence, ability to seek out and convey complex information clearly and respond to evolving student needs. OSLE is committed to maintaining high standards of service, and the incumbent will demonstrate this through responding to a high volume of detail-oriented administrative work and direct student interaction.
The position works with other advisors within OSLE's Programs &
- Innovation group. In addition to working with other advisors, the incumbent will collaborate with Academic Directors and OSLE's Operations &
- Impact group, as well as staff and faculty in other units to deliver exceptional student experiences. As such, the advisor role requires both independent work and collaboration on a daily basis. Stressors include managing competing demands, navigating varying timelines, and ensuring students remain on track to complete the requirements for their signature learning experiences. Success in this role requires patience, organizational skills, and the ability to maintain positive relationships with students, staff, and faculty.
This is a full-time position (Monday to Friday, 8:30 am - 4:30 pm, with occasional evenings/weekends) within the AUPE bargaining unit. UCalgary's main campus is the primary location for work. Advisors are expected to spend a portion of their time working from OSLE's student hub, in addition to the main office.
Summary of Key Responsibilities (job functions include but are not limited to):
Student Advising &
- Support
- Advise students on a wide range of experiential learning pathways with strong emphasis on global learning programming, as well as undergraduate research, work-integrated learning, and entrepreneurial thinking.
- Provide expert advice and support students in identifying opportunities aligned with their academic and career goals before, during, and after programs, including academic and financial planning, risk and safety, cultural preparation, and re-entry (where relevant).
- Apply a culturally sensitive, flexible, and inclusive advising approach, with strong discretion and responsiveness to diverse student needs.
- Ensure students receive accurate information on program-related academic and financial matters (course timetabling, academic credit, tuition and fees, loans, scholarships and awards, etc.) through close collaboration with academic and non-academic units on campus, referring students to other campus resources when applicable.
- Develop and facilitate individual and group sessions on topics such as health and safety, wellness, academic success, personal and career development.
- Respond to student inquiries by email, phone, online, and in person, managing multiple inboxes and responding promptly.
- Offer guidance on navigating challenges that may arise during experiential learning (e.g., supervisor communication, workload management, intercultural dynamics, or adapting to current environments); escalate when required.
- Develop and update student materials such as D2L modules,
web content,[RT1] and presentations that align with university branding and engage diverse audiences.
- For global experiences, support students to develop intercultural skills and global competencies through tailored programs and resources, including the development and maintenance of related resources.
- Advise students in preparing competitive applications for global learning, research opportunities and work-integrated learning programs.
- Equip students with strategies to articulate skills gained through experiential learning in future academic, professional, and personal contexts.
- Maintain up-to-date knowledge of experiential learning best practices, funding opportunities, and campus resources to support student success.
- Proactively develop and maintain expert knowledge of university policies and procedures (academic and non-academic), global learning program and partner details, visa processes, health and safety conditions, cultural considerations, etc.
- Assist with the coordination of a student volunteer and peer mentoring program to support advising, outreach, and campus awareness.
- Provide mentorship and model professional conduct for student staff and volunteers.
Administration and Coordination of Signature Learning Experiences
- Support the delivery and administration of signature learning experiences across global experiences, undergraduate research, work-integrated learning and entrepreneurial thinking, maintaining a strong understanding of all programs and serving as a specialist in a specific portfolio.
- Participate in regular cross-training across signature learning programs and provide coverage as required for other OSLE advisors.
- Work within University of Calgary systems to process program applications, acceptances, and registrations, including the collection of supporting documents, tracking of payments and verification of compliance with application requirements, where necessary.
- Assist with program screening and selection in alignment with university policies.
- Track student and program preparations relative to risk management, visa requirements, course timetabling and registration, etc.
- Liaise with international partner institutions and agencies abroad with regards to application procedures, program and housing options, entry requirements and visas, promotion of opportunities for their students, etc.
- Ensure programs comply with institutional policies (e.g., travel, risk management, academic calendar).
- Advise instructional staff on traveling with students, facilitating successful virtual cross-cultural collaboration, and enhancing intercultural capacity, as well as on UCalgary policies, procedures, and best practices for global experiences.
- Support the coordination and promotion of student funding options, including application management, outreach, collaboration with campus partners, and post-experience reporting.
- Maintain accurate, confidential program and student records.
- Contribute to the design and implementation of new projects and processes to enhance services for students and improve efficiency.
- Support program evaluation to guide program improvement.
- Support the collection of detailed metrics and trends for program evaluation, strategic planning, and reporting to internal and external stakeholders.
Relationship Building &
- Promotion of Signature Learning Experiences
- Create and deliver training, group facilitation, and presentations for various audiences.
- Collaborate with campus partners to ensure consistent messaging about Signature Learning opportunities across departments and platforms.
- Represent the Office of Signature Learning Experiences at orientations, fairs, and campus-wide events.
- Maintain positive relationships with a variety of partners including academic units, global partners, host country Embassies and Consulates, and community and industry partners to stay knowledgeable of current policies and procedures.
Qualifications / Requirements
- Undergraduate degree and a minimum of 2 years of experience in post-secondary education, preferably in global learning, work-integrated learning, undergraduate research or entrepreneurial thinking.
- Strong customer service skills with the ability to resolve conflict using sound judgement to know when to involve others; previous advising or mentorship experience considered an asset.
- Proven project/program coordination and administration skills and experience navigating competing priorities, managing workflows, and working to deadlines.
- Robust communication skills in written and spoken English required.
- Demonstrated presentation, and facilitation abilities with experience delivering training, group facilitation and presentations of various sizes and audience types using a variety of modalities and mediums including in-person and virtual, email and D2L.
- Ability to synthesize knowledge and experience from complex programs, initiatives and processes into digestible responses to queries from students and manage a high volume of daily correspondence.
- Highly developed organizational skills, strong attention to detail, sense of initiative and problem-solving skills required.
- Ability to anticipate needs, plan, organize, coordinate and perform work independently.
- Effective in both team-based and independent work environments.
- Capacity to manage multiple complex tasks in a fast-paced environment with sound judgment and initiative.
- Knowledge of university business systems required including Microsoft Office (Word, Outlook, Teams, PowerPoint, Excel), PeopleSoft, Qualtrics, Zoom, Yuja, and D2L Brightspace.
- Experience with Canva is desirable along with experience using Orbis Outcome, Waitwell and/or AwardSpring.
- Familiarity with university strategic plans, academic/non-academic regulations, programs, procedures and services, and legislation.
- Knowledge of diverse cultures and cross-cultural communication;
experience with travel safety and intercultural adaptation.
- Prior study abroad, international work experience, or experiential learning participation is strongly preferred.
