Role Overview
On behalf of our client, True Aim Solutions is seeking an AI Operational Enablement Analyst to serve as the on-the-ground driver of responsible AI adoption across the client's operations. This role sits at the intersection of people, process, and technology: you will help lawyers, investment professionals, and operations teams put approved AI tools to work in their day-to-day workflows - onboarding and administering users, building reusable prompts and playbooks, tracking adoption, and making sure every use aligns with the confidentiality, privilege, and regulatory expectations of financial-institution and professional-services environments.
This is not a software-engineering role. It is an enablement, administration, and data-governance role for someone who is fluent in how regulated businesses actually operate and genuinely excited about turning AI from a novelty into everyday, trusted capability.
Emphasis: Responsible AI Adoption in Regulated Environments
Our client operates in the highly regulated worlds of financial services and professional services, including law. They are looking for an analyst who understands the workflows of these environments - deal and investment diligence, contract review, research, KYC/AML support, matter and document management - and can translate them into safe, high-value AI-enabled processes. Beyond using AI tools, this person can administer them and help govern the data they touch.
Key Responsibilities
- Own day-to-day enablement of approved AI tools and copilots - onboarding, configuration support, and hands-on user support across legal, investment, and operations teams.
- Administer and configure approved AI platforms - manage tenants, licensing, user provisioning, role-based access, and policy/guardrail settings (e.g., Copilot admin controls, legal-AI workspace administration) for at least a subset of the client's AI toolset.
- Support and help mature data governance - implement and maintain data classification,
sensitivity labeling, DLP, retention, and access controls, including information barriers / ethical walls, so AI use stays compliant and auditable.
- Build and curate a prompt and playbook library - reusable prompts, templates, and AI-assisted workflows tailored to common financial-institution and legal tasks.
- Deliver training and adoption programming - office hours, demos, and enablement sessions that move users from curiosity to confident, responsible daily use.
- Translate business workflows into AI-assisted processes - due diligence, contract lifecycle, research, reporting, KYC/AML support, and document management, always with clear human-review checkpoints.
- Track and report adoption - usage, time saved, ROI, and user feedback to leadership, and use it to drive continuous improvement.
- Partner with IT, security, compliance, and legal/risk so AI use aligns with data-handling, confidentiality/privilege, acceptable-use, and model-risk requirements.
- Evaluate and pilot emerging AI tools; manage vendor roadmaps, release changes, and change communications.
- Author governance-aligned enablement material - SOPs, quick-reference guides, acceptable-use standards, and data-classification guardrails.
Required Qualifications
- 2-4 years in an operations, enablement, business-analysis, knowledge-management, IT administration, or professional-services / financial-services role.
- Demonstrated familiarity with financial-institution workflows (e.g., asset / investment management, banking operations, research, reporting, KYC/AML) and/or legal workflows (matter management, document review, due diligence, contract lifecycle).
- Hands-on experience with at least one enterprise AI assistant - e.g., Microsoft 365 Copilot, ChatGPT Enterprise, or a legal AI platform such as Harvey, CoCounsel, or Legora.
- Administrative capability with at least one of these platforms - comfortable in the admin / tenant console managing licensing, user access, roles, and policy / guardrail settings, not end-user use alone.
- Working knowledge of data governance - data classification, DLP, sensitivity labeling, retention, and access controls, and how they apply to AI usage in regulated environments.
- Strong training, facilitation, written-communication, and documentation skills,
with a change-management mindset.
- Comfort operating within regulated-environment constraints: confidentiality, data governance, and human-in-the-loop review.
- Bachelor's degree or equivalent practical experience.
Preferred Qualifications
- Legal AI and legal-tech platforms: Harvey, CoCounsel (Thomson Reuters), Legora, Spellbook, Robin AI, or Luminance; eDiscovery (Relativity); AI integrations with iManage / NetDocuments.
- Enterprise / FI AI platforms: Microsoft 365 Copilot and Copilot Studio, Azure OpenAI, ChatGPT Enterprise, Google Gemini / Vertex AI, Glean, Writer, Hebbia, or AlphaSense.
- Administrative and data-governance tooling: Microsoft 365 administration and Microsoft Purview (compliance, DLP, sensitivity labels, information barriers), or legal DMS security such as iManage Security Policy Manager / ethical walls.
- AI fundamentals: prompt engineering, retrieval-augmented generation (RAG), and emerging patterns such as Model Context Protocol (MCP).
- Governance and risk frameworks: OSFI E-23 (model risk management), NIST AI Risk Management Framework, ISO/IEC 42001, and privacy regimes (PIPEDA, GDPR); awareness of legal privilege and ethical-wall requirements.
- Prior experience at a bank, asset manager, insurer, or law firm, or in a professional-services delivery / enablement capacity.
- Certifications such as Microsoft 365 / Copilot / Security / Purview administration, Prosci change management, or PMP.
