Position Overview
We are currently seeking an Operations, Air Export professional to join our team in Mississauga.
The successful candidate will be responsible for coordinating and processing routine to moderately complex air export shipments from start to finish. This position requires strong attention to detail, excellent organizational and communication skills, and the ability to work effectively in a fast-paced environment while meeting customer requirements and carrier cut-off deadlines.
The position reports directly to the Department Supervisor.
Key ResponsibilitiesAir Export Operations
- Receive and process customer orders and confirm acceptance of shipping terms with the Exporter of Record.
- Review customer instructions, SOPs, Shipper's Letter of Instructions (SLI), Letters of Credit, and other documentation for accuracy and completeness.
- Obtain and prepare quotations as required.
- Arrange cargo pick-up, transfer, and delivery.
- Make carrier bookings and reserve HAWB, MAWB, and AWB as required.
- Select appropriate routing and carrier options based on service requirements, cost, and transit time.
- Verify shipment details, including shipper/consignee information, marks and numbers, weight, dimensions, volume, freight charges, commodity descriptions, Incoterms, and delivery terms.
- Ensure all required third-party documentation is accurate and complete.
- Ensure compliance with applicable Canadian, domestic, and international shipping regulations.
- Complete CERS transmissions where applicable.
- Prepare and issue commercial invoices, certificates of origin, insurance certificates, and other required documentation.
- Arrange document legalization and inspections when required.
- Verify Shipper Security Status with Transport Canada through the Transport Validation Module.
- Confirm with the Maltacourt warehouse that cargo has been screened and accepted for transportation.
- Upload signed and dated screening confirmations into E-Docs.
- Issue the Canadian Secure Cargo Declaration (CSDC) where applicable.
- Distribute shipment documentation according to customer, Maltacourt, and destination-country requirements.
- Send pre-alerts to destination offices, gateways, and origin stations as applicable.
- Confirm shipment departure/on-board status with carriers.
- Monitor and update shipment milestones daily.
- Prepare and maintain accurate job costing and complete invoicing to customers and/or overseas offices and agents.
- Handle exceptions, discrepancies, and operational issues in consultation with the Department Supervisor.
Customer Service
- Respond to customer inquiries promptly and professionally, with the objective of providing same-day responses whenever possible.
- Provide customers with accurate shipment status updates, rates, additional charges, and tracking information.
- Communicate clearly and effectively with customers, overseas offices, agents, carriers, and internal departments.
- Proactively identify potential issues and provide practical solutions or alternatives.
- Escalate matters outside the scope of responsibility to the Department Supervisor or Manager.
Compliance & Quality
- Conduct compliance checks on commodities and destinations, including banned or restricted goods and destinations.
- Ensure all documentation and shipment processing meet applicable regulatory and company requirements.
- Follow all company policies, procedures, work schedules, and attendance requirements.
- Support Maltacourt's Quality, Health, Safety & Environment objectives and policies.
- Promote safe and sustainable work practices and help minimize workplace incidents and environmental impact.
- Perform other duties as assigned.
Decision-Making Responsibilities
- Review cargo routing and select the most appropriate carrier/service option.
- Ensure all required export documentation is complete and accurate.
- Monitor carrier cut-off times and ensure shipments are booked and processed on schedule.
- Identify and resolve operational exceptions, consulting with the Department Supervisor when required.
- Make informed, timely decisions while maintaining customer service, compliance, and cost considerations.
Qualifications & Industry Knowledge
- Previous experience in Air Export operations is strongly preferred.
- Minimum two years of relevant freight forwarding/logistics experience is an asset.
- Working knowledge of Incoterms .
- Knowledge of air freight documentation and export procedures.
- Understanding of Canadian and international export compliance requirements.
- CargoWise experience/certification is an asset.
- College education in Supply Chain, Logistics, International Transportation, or a related field is an asset.
- CIFFA certification is an asset.
- Dangerous Goods certification is an asset.
- Authorized Cargo Representative (ACR) designation is an asset.

- Minimum two years of relevant freight forwarding or logistics experience is an asset.
- Experience specifically in Air Export operations is preferred.
- College or post-secondary education in Supply Chain, Logistics, International Transportation, or a related discipline is an asset.
- CIFFA certification is an asset.
- CargoWise experience is an asset.
- Dangerous Goods certification is an asset.
- ACR designation is an asset.
Language Skills
- Fluent English, both written and spoken.
- Additional languages are an asset.
Computer Skills
- Proficient in Microsoft Office Suite.
- Experience with CargoWise is an asset.
