This role combines responsibilities in bookkeeping, office and inventory management, and support for the owner with higher-level business tasks. Strong communication skills are essential, as you will regularly interact with clients by phone and email, as well as work closely with the owner to prepare business reports and analysis that must be clearly explained.
Strong proficiency in Microsoft Excel and Outlook is required.
This role focuses primarily on bookkeeping duties, including processing invoices, managing payments, monitoring inventory, reconciling bank statements, and submitting taxes. The successful candidate will also support daily office operations by maintaining supplies, greeting clients, organizing files, handling incoming orders, answering phones, directing calls to technicians, and contacting clients to keep accounts current. We are looking for someone who is flexible, organized, and committed to maintaining a professional office workplace.
The ideal candidate will be analytical, self-motivated, proactive, and able to support the owner with additional executive assistant and business-related tasks.

CONSIDER THIS BEFORE APPLYING:
This position requires regular onsite interaction with employees, the owner, and clients, as well as handling office paperwork and incoming orders; therefore, hybrid and remote work arrangements are not available.
Candidates must be proficient in Windows and able to use Microsoft Excel and Outlook confidently, as basic knowledge is not sufficient and applicants may be tested. All interviews will be conducted in person at our Surrey office, without exception. Some responsibilities may also require driving on behalf of the company for tasks such as bank deposits, courier deliveries, or purchasing supplies, so candidates must have a valid BC driver’s license,
a fully insured vehicle, and at least three years of driving experience in Canada.
Strong
English proficiency is essential for clear, professional communication with clients, colleagues, and management. Because our range of equipment and services is extensive, careful attention to detail is required when preparing reports, documents, and correspondence, and candidates’ English, communication, and comprehension skills will be assessed throughout the interview process. Only applicants who demonstrate fluent English and solid communication skills will move forward in the selection process.
JOB PRIMARY RESPONSIBILITIES:
· Oversee accounts payable and receivable, including the management of overdue accounts and the distribution of account statements. You will need to contact clients to manage late payments.
· Conduct bank and credit card reconciliations and process government forms (PST and GST).
· Prepare a range of financial documents, such as expense reports, income statements, customer statements, balance sheets, and labor reports for billing purposes. Ensure processing of journal entries provided by the company accountant.
· Reconcile supplier and client accounts while addressing related inquiries.
· Maintain an organized filing system for both digital and physical documents, which may require periodic scanning.
· Monitor inventory levels, databases, spreadsheets, and accounting software; conduct audits as needed.
· Review and monitor customer service license usage to ensure accurate monthly and annual billing.
· Manage incoming calls, mail, emails, take messages, and interact professionally with clients and vendors.
· Assist the owner in preparing reports for budgeting, product cost analysis, travel arrangements, expense tracking, contract analysis, and other related tasks.
· Perform various support functions for technicians, including tracking mileage, monitoring important dates, assisting with client reception, conducting occasional product research, maintaining a clean and organized environment, fulfilling travel requirements, and executing additional duties as assigned.
REQUIRED SKILLS:
· Strong communication skills; fluent in business English (spoken/written, tested).
· Should demonstrate strong analytical and problem-solving skills, along with self-motivation and the ability to take initiative.
· Proficient with Quickbooks, Word, Excel,
Outlook (tested).
· Skilled in client relations and diplomacy.
· 1–2 years recent accounting experience or relevant education.
· Reliable, deadline-focused, and accurate with records and administration.
· Detail-oriented and able to maintain strict confidentiality.
· Capable of prioritizing, multitasking, and working independently to meet deadlines.
