The successful candidate will have the following:Minimum of 2 years’ experience in accounting procedures and office administrationCompetent computer skills including Word and Excel and able to learn recent systems quicklyAble to multi-task and demonstrate strong time-management skillsCurrent Standard First Aid with CPR-C certificated within the last 12 months from an approved AB OHS provider. Asset if certification is issued by one of the following five Canadian organizations: Canadian Red Cross, Heart and Stroke Foundation, Lifesaving Society, St John's Ambulance and/or Canadian Ski PatrolEvidence of a clear Police Information Check and Vulnerable Sector SearchThree professional referencesWhat does this role look like at YMCA Calgary?Reporting to the Customer Service Manager, the Administration Coordinator is responsible for managing day to day administrative operations for their assigned branches and support regional operational consistency. This is a regional position; the South position willsupport Brookfield Residental YMCA atSeton, Remington YMCA at Quarry park, and Shawnessy YMCA branches.As part of a Health, Fitness, and Aquatics Branch (HFA) this position will also be responsible for Duty Manager shifts on a regular basis, ensuring the maintenance of the branch and coordinating health and safety responses in the event of an emergency.Duties and ResponsibilitiesManage day-to-day administrative operations for assigned branches and support regional operational consistencySupport the balancing of daily cash outs for assigned branchesMake regular trips to the bank for deposits and change, ensuring the secure handling of branch fundsMonitor and track branch administration budgets and assist with yearly budget planning and goal settingUpdate the branch contact lists as necessaryAssist in maintenance of the shift scheduling software (Sling)Administer staff parking registration systems and provide troubleshooting support as requiredPerform Duty Manager shifts providing excellent customer service,



maintaining facility security and safety and leading the emergency response when requiredPrepare, submit, and track purchase orders and invoices, ensuring timely approvals and paymentsEnsure the administration & photocopy areas are well stocked and organized; order new supplies as neededOversee incoming and outgoing mail operations, including sorting, distribution, courier services, shipment tracking, and interoffice mail coordinationProvide shared leadership to YMCA fund raising events & branch special eventsOrder, distribute, and maintain branch uniforms and uniform inventoriesServe as the primary point of contact for Lost & Found coordinationPerform other duties as assigned by the General Manager & Customer Service ManagerWhat qualities do we look for in YMCA Calgary Staff and Volunteers?Our employees embody the YMCA values of honesty, caring, respect and responsibility.
