Client Care (Scheduling) Coordinator

RNS Health Care Services Inc. is currently seeking a dedicated, detail-oriented, and solutions-focused Client Care (Scheduling) Coordinator to join our team. This position is being posted to fill an existing vacancy within our Client Care operations.

About the Role
As a Client Care Coordinator, you are at the centre of service delivery—ensuring clients receive timely, appropriate care while supporting the frontline teams who make that care possible.
You will be responsible for coordinating daily client scheduling, responding to urgent service needs, and maintaining strong communication between clients, field staff, and internal departments. Your work directly supports continuity of care and helps ensure clients receive the right support at the right time.
This role includes after-hours and weekend emergency response as part of a shared rotation.
What You’ll Do In this role, you will:
- Receive and manage referrals from Ontario Health at Home (OHAH), hospitals, private clients, insurance providers, and other partners
- Quickly assess scheduling requirements and coordinate appropriate staff assignments
- Confirm service arrangements with clients/families and OHAH within expected timeframes
- Build strong working relationships with frontline staff, supervisors, and care partners
- Manage daily scheduling changes, cancellations, and urgent staffing needs
- Respond to after-hours and weekend emergency calls as required
- Document all scheduling activity, communications, and service updates in AlayaCare
- Track absences, missed care, and service interruptions accurately
- Identify and escalate client safety or service concerns promptly
- Support payroll and billing accuracy by investigating discrepancies
- Participate in team meetings and ongoing operational improvements

What We’re Looking For
- Previous experience in scheduling, coordination, dispatch, or a similar fast-paced administrative role (healthcare experience an asset)
- Strong organizational skills with the ability to manage competing priorities
- Excellent communication skills with a client-focused mindset
- High attention to detail and strong problem-solving ability
- Comfort working in a dynamic environment with shifting priorities
- Professionalism and discretion when handling sensitive information
- Proficiency with scheduling systems (AlayaCare preferred), spreadsheets, and Microsoft Office tools
- Post-secondary education in Business,
Operations, Healthcare Administration, or a related field preferred
- Clear Criminal Record and Judicial Matters Check (required)
