We are looking for a Client Services Coordinator / Admin Assistant to join our growing team. Read on and see if this sounds like a position you would be interested in.

About the role Job Type: Full-time, Permanent
Location: In office – Calgary Downtown
Compensation: $45,000 - $50,000
The Client Services Coordinator reports to the Manager, Client Services and supports our team members. This position is will also involve office management and general administrative duties. You will be responsible for ensuring that workflow in our office is efficient, prioritized, and organized.
From answering phone and email inquiries to handling confidential documents, acting as liaison with clients,
and maintaining our exceptionally high client service delivery standards, this position is an integral part of our business. Having a high sense of customer service, accountability, excellent judgement and a passion for excellence are some of the hallmarks of this position.
Your Responsibilities
- Client relationships - handling client communication by email, phone, and in person in a timely and professional manner and accurately take messages, re-direct calls, or schedule calls with other professionals.
- Calendar (Outlook) management for team members relating to setting up appointments and bookings
- Workflow Management - Managing workflow and sales funnel for on-time completion including follow up with clients, title/escrow companies, and team members. Assist with file assignments to available team members.
- Data Entry – setting up and updating client profiles in software systems, inputting client data into forms and tax preparation software, tracking and electronic filing of client documentation.
- Documentation - Composing engagement letters, memos, social media posts, updating office templates, creating presentations, and various other correspondence as needed. Organization and management of filing room with record keeping.
- Ensuring confidentiality with all matters dealing with the team’s and client day to day affairs including but not limited to conversations, phone calls, meetings, and client documentation.
- Performing general office duties including assembling mailouts, managing all incoming and outgoing couriers and mail, filing,
scanning, photocopying, maintaining, monitoring and ordering office supplies, and working with suppliers including courier services, and contractors.
- Set up in-person appointments including preparing boardroom for meetings with all necessities including drinks, file prep, documentation, greeting clients etc.
- Other administrative duties as assigned.
Your Skills and Qualifications
Must have
- Based in Calgary
- Minimum 2 years customer service experience
- At least 2 years related experience as a client coordinator or similar
- Proven advanced computer skills: particularly MS Office, Teams, social media platforms, and other cloud-based technology.
- Strong analytical and data entry skills.
- Reasonable typing speed.
- Excellent time management.
- Team Player, open minded, and always looking for efficiencies.
- High standard of ethics and confidentiality to handle sensitive information.
- Exceptional attention to detail and ability to manage multiple projects at the same time.
- Interest and understanding about the tax and accounting industry
Nice to have
- Professional services experience (Accounting or Law Firm)
