Job Overview

We are seeking an energetic, organized, and detail-oriented Clinic Manager to oversee the day-to-day operations of a busy multidisciplinary healthcare clinic offering Chiropractic, Physiotherapy, Acupuncture, and Registered Massage Therapy (RMT) services.

The Clinic Manager will play a key leadership role in ensuring efficient clinic operations, exceptional patient experiences, accurate billing, and a positive, high-performing team environment. The ideal candidate is a confident leader who can take initiative, solve problems, communicate effectively, and keep the clinic running smoothly in a fast-paced setting.

Experience with Jane App, ICBC billing, extended health insurance billing, staff management, and patient/customer service is highly valued.

Responsibilities

- Oversee daily clinic operations, patient scheduling, and workflow using Jane App
- Manage ICBC and extended health insurance billing, including submissions and follow-ups
- Lead, train, and support administrative and clinical staff
- Advise staff on clinic procedures, customer service, billing, and day-to-day issues
- Manage staff scheduling, onboarding, performance, and conflict resolution
- Ensure patient records, documentation, and billing are accurate and up to date
- Handle patient concerns and maintain a qualified, welcoming patient experience
- Monitor clinic supplies, expenses, and operational needs
- Identify opportunities to improve efficiency, patient retention, and clinic growth
- Perform cold calls and outbound follow-ups with patients and prospective clients when required
- Ensure clinic policies, privacy standards, and healthcare regulations are followed

Qualifications
- Previous experience in clinic management,



healthcare administration, medical office management, or a similar leadership role
- Experience in a multidisciplinary clinic, physiotherapy, chiropractic, acupuncture, RMT, or other healthcare setting is an asset
- Strong working knowledge of Jane App or similar healthcare practice-management software
- Experience with ICBC billing and claims processes
- Experience with extended health/insurance billing and direct billing
- Strong computer skills and ability to learn and manage clinic software and systems
- Proven ability to supervise, train, and support staff
- Excellent communication and interpersonal skills
- Comfortable with cold calling and outbound patient/business calls
- Strong customer service and problem-solving skills
- Confident providing direction and advice to staff while maintaining a positive team environment
- Highly organized, detail-oriented, and able to multitask in a fast-paced clinic
- Ability to work independently, take initiative, and make sound day-to-day decisions
- Professional, energetic, approachable, and patient-focused
- Strong understanding of patient confidentiality and privacy requirements
