Job Summary
BLUBC Education Consulting is a growing education consulting company offering opportunities for professional development and growth opportunities. We have two Vancouver locations: one on the UBC campus and another at 2083 Alma Street in Vancouver West.
We are seeking a responsible, organized, and proactive Education & Operations Coordinator to join our Academic Team. This is a diverse, hands-on role that combines academic coordination, course scheduling, student support, parent and teacher communication, course promotion, content creation, and teacher recruitment.
The successful candidate will work closely with students, parents, teachers, and education consultants to coordinate tutoring services and support the daily operation of our learning centres. The role also involves promoting academic programs, preparing WeChat content and promotional materials, organizing online classes, and assisting with teacher recruitment and interviews.
As the staff member on duty, the coordinator will supervise Grade 9–11 students attending our learning centres for independent study and provide general support with school assignments when needed. Candidates with a science, mathematics, or engineering background will be given preference.
Key Responsibilities
Academic Coordination and Course Scheduling
- Arrange tutoring sessions and academic programs promptly based on the recommendations of education consultants and the learning needs of students
- Coordinate schedules among students, parents, teachers, and education consultants
- Set up and manage in-person and Zoom classes, including meeting links, class schedules, teacher assignments, and attendance information
- Confirm class arrangements and communicate schedule changes clearly and promptly
- Follow up with students and parents regarding attendance, homework completion, assessments, and academic plans
- Communicate regularly with teachers and education consultants regarding student performance, learning needs, and recommended next steps
- Monitor the delivery of tutoring services and help ensure that classes meet BLUBC’s academic and service standards
- Respond to day-to-day scheduling questions and resolve routine class-related issues professionally
Student Support and Learning-Centre Supervision
- Supervise Grade 9–11 students attending the learning centre for independent or guided study
- Provide general assistance with school assignments, particularly in mathematics and science
- Help students understand relevant concepts, organize their assignments, and develop effective study and time-management habits
- Support individual students and small groups when academic assistance is required
- Identify questions requiring subject-specialist support and coordinate follow-up with the appropriate teacher or education consultant
- Encourage students to become more independent, organized, responsible, and confident in their learning
- Maintain a safe, respectful, organized, and academically focused learning environment
- Welcome students and families and provide accurate information about schedules, classrooms, and academic arrangements
- Follow BLUBC’s procedures for student safety, incidents, and emergency situations
Course Promotion and Content Creation
- Support the promotion of BLUBC’s academic programs, including mathematics, science, English, humanities, AP, SAT, and other tutoring courses
- Prepare and edit clear, engaging, and professional Chinese-language content for WeChat posts and course announcements
- Create promotional posters, course flyers, and other digital marketing materials using Canva or similar design platforms
- Work with teachers and education consultants to collect accurate course information, program highlights, student outcomes, and promotional content
- Help develop course descriptions and promotional messages that clearly communicate the value and features of each program
- Publish or distribute approved promotional materials through designated communication channels
- Assist with education seminars, open houses, trial classes, information sessions, and other student recruitment activities
- Ensure that promotional materials are accurate, visually consistent, and aligned with BLUBC’s brand and professional standards
Teacher Recruitment and Coordination
- Assist with posting teaching positions and reviewing applications
- Conduct initial résumé screening and communicate with qualified candidates
- Coordinate teacher interviews, teaching demonstrations, and follow-up arrangements
- Participate in interviews and help evaluate candidates’ communication skills, subject knowledge, teaching experience, and overall suitability
- Collect teaching materials, references, availability, and required documents from candidates
- Assist with teacher onboarding, scheduling, and communication of relevant academic and administrative procedures
- Maintain organized and up-to-date teacher and candidate records
- Communicate professionally with current and prospective teachers throughout the recruitment and onboarding process
Student Records and Administrative Support
- Maintain accurate and up-to-date student profiles, schedules, attendance records, class notes, and progress information
- Record course changes, cancellations, rescheduled classes, and other relevant updates
- Prepare internal updates and share relevant information with teachers, education consultants, and other team members
- Assist with the preparation and organization of teaching materials, course documents, and academic resources
- Maintain the confidentiality of student, family, teacher, and company information
- Support the daily organization, presentation, and operational readiness of both learning centres
- Complete other reasonable education coordination and operational duties as assigned
Communication and Relationship Management
- Communicate professionally and confidently with students, parents, teachers, education consultants, and other staff members
- Provide clear and detailed information regarding courses, schedules, academic arrangements, and student progress
- Build positive relationships with students and families and respond to questions with patience, sound judgment, and a service-oriented approach
- Work collaboratively with the Academic Team to address student and parent needs
- Follow up on assigned tasks and ensure that important information is communicated to the appropriate team members
- Represent BLUBC in a skilled, friendly, and responsible manner
Qualifications and Skills
- A bachelor’s degree or other post-secondary education in Science, Mathematics, Engineering, Education, Business, Communications, or another relevant field
- Candidates with a solid science, mathematics, or engineering background will be given preference
- Ability to provide general academic support to Grade 9–11 students, particularly with mathematics and science assignments
- Strong interest in education and working with secondary school students and their families
- Fluency in both English and Mandarin, with strong spoken and written communication skills
- Ability to write clear, accurate,
and engaging Chinese-language promotional content
- Experience using Canva or similar tools to create posters and digital promotional materials
- Strong interpersonal, organizational, time-management, and problem-solving skills
- A calm, patient, responsible, proactive, and professional manner
- Ability to coordinate multiple schedules, priorities, deadlines, and student needs
- Strong attention to detail and ability to maintain accurate records
- Ability to work independently, take ownership of assigned responsibilities, and collaborate effectively with the BLUBC team
- Confidence communicating with parents, students, teachers, and job candidates
- Previous experience in education, tutoring, academic coordination, student services, recruitment, marketing, content creation, or learning-centre administration is an asset
- Familiarity with the BC secondary school curriculum and the local education system is an asset
- Experience managing Zoom classes, WeChat content, or education-related social media is an asset
Additional Requirements
- Availability to work scheduled shifts between 10:00 a.m. and 8:30 p.m.
- Flexibility to work at both BLUBC Vancouver locations as scheduled
- Legal authorization to work in Canada
- Successful completion of a Criminal Record Check
- Two professional references
