This is more than a support role — you’ll be a key point of contact for clients, a cornerstone of our estate planning and real estate practices, and an key part of our firm’s exciting transition to a modern, primarily digital file management system.

THE ROLE Reporting directly to the supervising lawyer(s), you will manage all aspects of the estate planning and real estate file lifecycles from initial intake through to closing, with a strong emphasis on client communication, document accuracy, and providing a seamless client experience.
Estate Planning Responsibilities:
- Draft Wills, Powers of Attorney (property and personal care), and related estate planning documents with precision and consistency
- Manage estate planning client files from opening to closing, maintaining meticulous organization in both physical and digital formats
- Serve as a primary point of contact for clients — answering questions, providing updates,
and ensuring a professional and compassionate experience
- Coordinate and schedule client meetings, signings, and follow-up appointments
- Conduct conflict checks, prepare retainer agreements, and manage billing and file documentation
Real Estate Responsibilities:
- Manage residential and/or commercial real estate transactions from Agreement of Purchase and Sale through to closing
- Prepare and review title searches, off-title searches, and undertakings
- Draft and review closing documents including transfer/deeds, mortgages, and direction re funds
- Coordinate with clients, realtors, lenders, and opposing counsel to ensure timely and accurate closings
- Prepare reporting letters and final reporting to clients post-closing
- Manage trust accounting entries and disbursements in compliance with Law Society requirements
General Responsibilities:
- Support the firm’s digital transition by adopting and championing new practice management technology and paperless workflows
- Assist with general administrative tasks and provide flexible support to the legal team as needed
WHAT WE’RE LOOKING FOR Qualifications & Experience:
- Law Clerk diploma or equivalent legal education
- Minimum 2 years of experience in estate planning (Wills & POA drafting) and/or real estate law
- Demonstrated experience preparing and reviewing estate planning and real estate documents independently
- Familiarity with title insurance, LSO trust accounting obligations, and Teraview is a strong asset
- Proficiency with legal practice management software and a comfort level with digital/cloud-based file systems
- Strong working knowledge of Microsoft Office 365 suite
