Position Summary The Events Coordinator is responsible for planning, coordinating, and delivering Boston Bar First Nation community events, meetings, cultural gatherings, workshops, celebrations, forums, and organizational functions.

The Coordinator will manage events from initial planning through execution and follow-up, ensuring that logistics, communications, vendors, schedules, budgets, facilities, and participant needs are effectively coordinated.

This position works closely with BBFN leadership, staff, community members, Elders, Knowledge Keepers, service providers, vendors, and external partners to ensure events are organized, welcoming, culturally respectful, and professionally delivered.

The successful candidate will be highly organized, proactive, resourceful, and comfortable managing multiple events and priorities at the same time.

Key Responsibilities

Event Planning & Coordination:

- Lead the planning, coordination, and execution of BBFN events from start to finish.
- Coordinate community gatherings, celebrations, cultural events, workshops, meetings, forums, information sessions, staff events, and special initiatives.
- Coordinate in-person, virtual, and hybrid events.
- Develop event plans, schedules, timelines, run sheets, checklists, and task assignments.
- Identify event requirements and ensure all arrangements are completed in advance.
- Coordinate event setup, operation, and teardown.
- Ensure events remain organized, on schedule, and responsive to emerging needs.
- Support multiple events and projects simultaneously while maintaining attention to detail.

Event Logistics:

- Coordinate venues, facilities, catering, equipment, technology, transportation, accommodations, supplies, signage, seating arrangements, and registrations.
- Coordinate Longhouse events and other community gatherings.
- Work with vendors, contractors, caterers, entertainers, facilitators, and service providers.
- Obtain quotes and coordinate purchasing and procurement requirements in accordance with BBFN procedures.
- Confirm event requirements with internal departments and external partners.
- Coordinate audio-visual equipment, Zoom, Teams, presentation equipment, and other event technology.
- Ensure accessibility, safety, and participant requirements are considered during event planning.
- Assist with physical event setup and coordination where required.





Community & Cultural Events:

- Help create welcoming, inclusive, and community-centered events.
- Coordinate with Elders, Knowledge Keepers, community representatives, leadership, and staff where appropriate.
- Support traditional protocols and cultural practices associated with community gatherings.
- Ensure cultural considerations are incorporated into event planning and delivery.
- Support events involving youth, Elders, families, community members, leadership, and external guests.
- Demonstrate cultural humility and professionalism when working within the community.

Event Communications & Promotion:

- Maintain BBFN's annual events calendar.
- Prepare and coordinate event notices, invitations, posters, agendas, registration information, schedules, community announcements, and participant communications.
- Work collaboratively with BBFN communications and departmental staff to promote upcoming events.
- Coordinate RSVPs, registrations, attendance lists, reminders, and participant updates.
- Ensure event information is communicated accurately and in a timely manner.
- Assist with social media and digital promotion of events where required.

Vendor & Stakeholder Coordination:

- Build and maintain positive working relationships with vendors, community partners, contractors, facilitators, staff, and stakeholders.
- Act as a primary coordination contact for event-related vendors and service providers.
- Confirm vendor schedules, deliverables, access requirements, setup times, and payment documentation.
- Coordinate external presenters, facilitators, guests, and organizations participating in BBFN events.
- Help resolve logistical issues quickly and professionally.

Budget & Administrative Responsibilities:

- Assist with the development and monitoring of event budgets.
- Track event-related purchases, invoices, receipts, purchase orders, and expenditures.
- Ensure events are delivered within approved budgets wherever possible.
- Maintain organized event files, contracts, attendance records, vendor information, and supporting documentation.
- Prepare post-event summaries and participation reports where required.
- Gather feedback and identify opportunities to improve future events.
- Support grant-funded events, initiatives, and associated reporting requirements.
- Maintain an inventory of event supplies, equipment, decorations, and reusable materials.

Qualifications





- Diploma or degree in a related field is preferred.
- Minimum one (1) year of experience in event coordination, community events, hospitality, project coordination, administration, or a related position.
- Experience working with First Nations communities, Indigenous organizations, or Indigenous governments is strongly preferred.
- Demonstrated experience coordinating events, meetings, workshops, conferences, celebrations, or community gatherings.
- Strong organizational, scheduling, and project coordination abilities.
- Strong verbal and written communication skills.
- Strong interpersonal skills and ability to work effectively with community members, staff, leadership, Elders, vendors, and external stakeholders.
- Proficiency with Microsoft Office, Outlook, Zoom, Teams, social media platforms, and online registration or event tools.
- Ability to remain calm, professional, and solution-oriented during busy events and changing circumstances.
- Ability to maintain confidentiality and professionalism.
- Valid Class 5 BC Driver's Licence.
- Reliable transportation.

Working Conditions

- Regular office environment with frequent community-based activities.
- Evening and weekend work will be required based on event schedules.
- Occasional travel may be required.
- Position requires periods of standing, walking, and assisting with event setup and teardown. May require lifting and moving light event supplies, equipment, tables, decorations, or materials.
- Criminal Record Check and Drug and Alcohol Testing may be required in accordance with BBFN policy, operational requirements, or the nature of the position.

- Boston Bar, BC: reliably commute or plan to relocate before starting work (required)
