Role Description The Executive Assistant and Client Relations Manager is a part-time, hybrid role based in Downtown Toronto, Canada. This role supports senior leadership with calendar management, meeting coordination, correspondence, and preparation of documents and presentations.
Day-to-day responsibilities include managing reports, organizing files, maintaining office systems, and handling routine administrative tasks to ensure smooth operations. The role also involves serving as a primary point of contact for clients, responding to inquiries, scheduling appointments, and helping to maintain strong, professional relationships.
The successful candidate will balance executive support and client service duties, while maintaining confidentiality and accuracy in all work.
Qualifications
- Strong Executive Administrative Assistance and Executive Support skills, including calendar management, meeting preparation, and document handling.
- Experience preparing and reconciling Expense Reports with attention to detail and accuracy.
- Excellent Communication skills, both written and verbal, for interacting with executives, clients, and team members.
- Proficient Administrative Assistance skills, including filing, data entry, office organization, and basic document management.
- Ability to manage multiple priorities, meet deadlines, and maintain confidentiality in a financial services environment.
- Proficiency with common office software (e.g., Microsoft Office or Google Workspace) and basic CRM or client management tools.
- Previous experience in financial services, qualified services, or a client-facing administrative role is an asset.
- Post-secondary education in business, administration, or a related field is preferred, or equivalent relevant experience.
