Position: Executive Assistant to the Deputy Chief of Police

Posting Type: Internal

Status: 1 full-time permanent position vacant

Hours of work: 40 hours per week (days)

Compensation Level: $73,787 to $98,383

We invite online applications from our**civilian members for one (1) Executive Assistant to the Deputy Chiefs of Police position.

PURPOSE OF POSITION

Reporting directly to the Deputy Chiefs of Police, the Executive Assistant works closely with Senior Staff to provide high-level administrative and executive support. The successful candidate must be resourceful, self-motivated, and capable of exercising sound judgment and discretion in a wide variety of situations. This position requires a high degree of integrity, professionalism, and accountability, particularly when handling confidential and sensitive information.

The incumbent will also serve as Executive Assistant to the Chief of Police, as required.

SUMMARY OF DUTIES AND RESPONSIBILITIES

- Managing correspondence.
- Preparing reports and interoffice communications.
- Coordinating appointments, and supporting the daily administrative functions of the Deputy Chief's Office
- Requires regular interaction with members across all areas of the Service, as well as external community partners and stakeholders.
- Acts as the primary liaison with police services, external agencies, and partner organizations, overseeing and coordinating registration, accommodation, and related logistical arrangements for members attending courses, conferences, and professional development opportunities.
- The administration, monitoring, and maintenance of the senior level training budget, including tracking expenditures, reconciling financial records, monitoring available funding,



and ensuring all expenditures remain within approved budgetary allocations.
- Processing and payment of course-related invoices.
- Reconciling corporate credit card transactions and maintaining accurate financial documentation in accordance with Service policies and procedures.

Knowledge

- Post-secondary school education (diploma/degree).
- Strong accounting skills.
- Demonstrated proficiency using SharePoint, Microsoft 365 and similar products.
- Proven ability to effectively use InTime and Guardian Tracking software.
- A thorough understanding and good working knowledge of the organizational structure, Routine Orders, Policy and Procedures, and adequacy standards as it pertains to duties performed

Skills
- Excellent oral and written communication skills.
- Proficient in keyboarding skills with exceptional speed accuracy and attention to detail.
- Exceptional organizational skills, attention to detail and initiative.
- Ability to exercise tact, good judgement and discretion.
- Ability to manage multiple priorities and meet strict deadlines.
- Ability to work independently.




- Explicit and accurate report writing.
- Strong interpersonal and communication skills, with the ability to communicate effectively with individuals at all levels of comprehension in a professional, courteous, and confident manner.

- Ability to complete all mandatory training courses.
- Ability to adapt quickly to changes in policies and procedures.
- Ability to ensure strict compliance with legislation, regulations, guidelines, policies and procedures.
- All other qualifications the position justifies.

Physical/Mental Demands
- Continuous use of computer, keyboard, and mouse.
- Extensive periods of sitting.
- Attention to detail and visual concentration required.
- Multiple deadlines and urgent assignments.
- Work is performed in a standard open concept office, subject to frequent interruptions.
