The Role The Executive Associate plays a key role in keeping our day to day operations running smoothly. You are the steady hand behind the scenes, ensuring contracts are drafted, packages are managed, supplies are stocked, and communication stays organized. From supporting production needs to handling returns and client follow ups, you take ownership of the details that keep the business moving forward.
This is a part time role suited for someone reliable, resourceful, and highly organized. You are comfortable shifting between administrative work and hands on tasks, and you take pride in being the person the team can depend on for whatever is needed.
The Ideal Candidate
You are proactive, detail oriented, and comfortable managing both digital and physical tasks. You can draft professional emails and contracts with care, stay on top of inventory and returns, and communicate clearly with clients. You thrive in a fast paced environment and are happy to jump in wherever support is required. You are organized, efficient, and understand that robust operations are the backbone of a successful creative business.
Key Responsibilities
- Draft and format contracts and administrative documents
- Review and clean up Pixieset galleries.
- Manage returns,
client package drop-offs, and PO box pickups.
- Oversee incoming and outgoing mail, deliveries, and courier runs.
- Order office supplies and schedule the cleaner.
- Organize the office and keep it maintained.
- Provide administrative support for production needs.
- Manage shared inboxes and assist with client communication.
- Assist with lead outreach.
- Support the team with general operational and in-office tasks as required.
Qualifications
- 1 to 2 years of administrative or office support experience preferred.
- Strong written communication skills and attention to detail.
- Highly organized with the ability to manage multiple tasks at once.
- Comfortable handling both desk based work and in person errands.
- Must have a valid driver's license and access to a car for errands.
