Job Purpose and Scope The Executive Co-Director - Operations and Membership is the most senior MSYK employee, primarily responsible for maintaining the operational capacity of Makerspace and growing the MSYK membership base. This position, in tandem with the Executive Co-Director of Funding and Programs, assists in leading all strategic and operational activities of MSYK with a focus on membership engagement and development, on-the-ground operations and facility maintenance, and digital/online interface maintenance for various softwares used by MSYK in its programs and membership engagement.

This position also assists the other Co-Director in some responsibilities as required including partnership building, overseeing MSYK commercial tenants, human resources, financial stability and growth, as well as strategic business planning. The Executive Co-Director reports to the Board of Directors.

Job Overview and Key Attributes of Successful Candidate:

- Develop, implement, and evaluate strategies and initiatives to increase Makerspace membership including 24/7 and drop-in memberships and partnerships with other organizations to build out membership packages.
- Monitor general operations of the Makerspace’s physical and digital infrastructures (building, tools, website pay platforms, and other online infrastructure) also working with the Hackspace, Shopspace, and Artspace committees to ensure delivery of regular equipment orientations, training programs and ensure regular maintenance of all equipment and tools.
- Reports to board on status of membership revenue and development, workshop income, operational expenses, and other related income/expenses.
- Responsible for monitoring and compliance with Operational Health and Safety standards and any other applicable health and safety standards.
- Assist Co-executive Director of Programs with operations specific grant-writing and management of member-run programs as required
- Demonstrates strong interpersonal, conflict resolution, and organizational skills; adept at adapting to sudden structural and organizational changes at Makerspace (project changes, unplanned service or maintenance operations, last minute programming, etc.)
- Has excellent English verbal and interpersonal skills; strong communicator; strong computer and finance skills
- Has solid understanding of the community economic development, especially in the northern context.

Duties & Responsibilities

Leadership and Human Resources

- Hire, orient, train, and supervise all employees and volunteers that support MSYK facility operations.
- Serve as the Occupational Health and Safety representative to establish, enforce and update safety protocols and safety programs to ensure the health and safety of all visitors, volunteers, trainees, employees, Board members, and risk minimization;
- Provide comprehensive administrative oversight and communication to the Board of Directors, including safety reporting, operations oversight reporting, human resource reporting and records management as well as any other research, reporting, or information deemed necessary for Board operations and strategic planning;
- Furnish accurate and timely financial reports, including budget and variance reporting on a periodic basis for membership and operational costs
- Support MSYK Committees including primarily:
- Coordinating the Membership Committee meetings and monthly open houses;
- Coordinating and attending Hackspace and Shopspace committees to ensure continued delivery of orientations and non-grant funded workshops/courses;




- Attending Governance Committee meetings only as related to modifications or changes to policies relevant to this role;
- Attending Finance Committee meetings for annual budget development and audits and otherwise as requested;
- Human Resources (HR) Committee as required; and
- Programs Committee as required.

Operational Planning & Management

- Plan and deliver programs and services that increase membership and are aligned with Board-approved strategy, and MSYK mandate to ensure the organization’s operations remain relevant to members and meet the expectations of the Board, government agencies, and partners;
- Manage all administrative and financial matters and deadlines to ensure the organization is in good standing with Corporate Legal Registry and the Canada Revenue Agency;
- Communicate and implement MSYK operational, financial, and Human Resource policies/procedures; and
- Support Board in execution of annual plans based on the overall strategic plan.

Membership Management

- Chair membership committee in absence of applicable Board Director
- Coordinate and deliver monthly open houses
- Roll-out and make improvements of marketing and engagement strategy for increasing membership
- Continue the development and delivery of membership procedures and onboarding (including portal improvements, Brivo suite management, onboarding for 24/7 members, etc.); and
- Manage Brivo Suite software
- Onboard and orient recent 24/7 members and/or support the Membership Committee in onboarding new 24/7 members.
- Train orientation instructors on how to use MSYK member portal as needed.

Volunteer Management

- Establish an annual volunteer strategy with the Volunteer Director for members to contribute hours.
- Ensure member volunteer contributions are tracked and managed on the member portal for member stewardship amongst 24/7 members.
- Implement programs to attract and retain volunteers for program delivery and other operational needs; and
- Coordinate the onboarding of volunteers and volunteer newsletter with Volunteer Director

Fundraising and Sponsorship Development

- Work with Executive Co-Director of Funding & Programs in sponsorship development;
- Find sponsors that can support MSYK’s operations (ex. Revenue to cover Operations and Maintenance costs, In-kind donations to reduce operations expenses, etc.)

Financial Management

- Manage monthly financial operations such as:
- Invoicing tracking for rentals
- Manage organizational accounts for operating expenses (ex. Utilities, condo fees, building maintenance supplies, etc.)
- Coordinate with the bookkeeper and accountant on monthly bookkeeping, bank reconciliations, payroll tax filing, and any other financial matters, filings, etc.
- Administer MSYK’s funds in compliance with the approved budget and monitor the monthly
- Work with the finance committee and accountant to ensure yearly filings with the CRA are submitted.
- Manage cash-flow, including tracking and reporting on variances from established plans, in compliance with Generally Accepted Accounting Principles (GAAP)
- Work in tandem with the Executive Co-Director of Funding and Programs as required primarily for management of grants and funding (e.g. holdbacks, deferring funds, etc).

Risk Management





- Ensure organization’s compliance with federal and territorial rules and regulations;
- Identify possible risks and bring them to the attention of the Board of Directors in a timely way;
- Implement and update a comprehensive workplace safety updating policies as necessary
- Serve as the organization's Occupational Health and Safety Representative to ensure WSCC Insurance is in place and that all workers, volunteers, etc. have adequate workplace safety training
- Continue comprehensive workplace safety and incident reporting protocol; and
- Maintain a comprehensive insurance program to ensure that the Board of Directors and the organization have appropriate and adequate insurance coverage.

Marketing and Communications

- Oversee and update marketing strategy;
- Ensure that an appropriate marketing strategy is executed or appropriately delegated; and
- Manage all media channels including the website, social media (facebook, instagram), and main administrative email in the absence of dedicated administrator or program coordinator.

Partnership Development

- Establish partnerships with sponsors to support Makerspace operations and increase membership
- Establish partnerships with businesses or organizations to develop bulk member purchasing.

Skills, Knowledge, and Abilities The ideal candidate will have experience in some or all of the points below:

- Familiarity with the unique opportunities in Northern Canada and Yellowknife’s entrepreneurial and community culture; Experience living and working in the North or remote communities;
- Familiarity with non-profit and social enterprise operating models
- Experience with managing teams of people (volunteers or employees), strong delegator
- Experience with marketing and communications and business development/growth - operations
- Strong verbal and written communication skills and administrative skills
- Experience with project management in an entrepreneurial or non-profit setting;
- Knowledge of business management, human resource management, and financial management skills including knowledge of bookkeeping, financial reporting, and budgets;
- Conflict management and interpersonal skills to effectively manage stakeholder relations;
- Experience with softwares including Stripe, Quickbooks Online and Google Drive;
- Having a valid driver’s licence is an asset;
- University degree in a relevant discipline (B.Comm, Engineering, formal education in management or leadership, financial and/or project management); and
- 2- 3 years experience in a relevant field.

Working Conditions and Other Attributes

Physical Demands

This position requires spending long hours sitting and using office equipment and computers,

which can cause muscle or eye strain. You may also have to do some light lifting of supplies, equipment and materials from time to time which will require an ability to bend and squat and lift up to 40lbs without difficulty.

Environmental Conditions

This position may have to manage many projects at one time, and may be interrupted frequently to meet the needs and requests of volunteers, trainees, employees and contractors.

You may find the environment to be cold, hot, busy, noisy, and dusty. Excellent organizational and time and stress management skills are required.

Mental Demands

Working effectively with a variety of people including those who may be under stress can create conflict or difficult interpersonal relationships. Reporting to the Board of Directors, the need to complete tasks or projects within tight deadlines can also cause stress.

Pay: $40.00-$45.00 per hour
