Bookkeeper / Production Administrator

Employment Type: Full-time

Compensation: $55,000–$68,000 CAD per year, commensurate with experience

About the Role

Village Brands is looking for a detail-oriented Bookkeeper / Production Administrator to support our finance and operations functions. This is a hybrid role that combines day-to-day bookkeeping with production administration duties, keeping our financial records accurate and our production data flowing smoothly. The ideal candidate is comfortable in a fast paced environment, very organized, comfortable working across departments, and has hands-on experience with Microsoft Dynamics 365 Business Central.

Key Responsibilities

Bookkeeping & Finance

- Process accounts payable and accounts receivable, including invoicing, payment runs, and collections follow-up
- Reconcile bank, credit card, and vendor accounts on a regular basis
- Maintain the general ledger and assist with month-end and year-end close procedures
- Prepare and file GST/PST and other regulatory remittances
- Prepare and file excise duty/tax returns in accordance with CRA excise requirements, ensuring accurate and timely remittance
- Prepare and submit required reports through Health Canada's Cannabis Tracking and Licensing System (CTLS), keeping production, inventory, and sales data current and accurate
- Maintain excise- and CTLS-related records needed to support audits and regulatory reviews
- Run full-cycle payroll, including timesheet review, payroll processing, statutory deductions, and remittances
- Maintain accurate payroll records and respond to employee payroll inquiries
- Assist with budget tracking, cash flow monitoring, and basic financial reporting
- Maintain accurate, audit-ready financial records within D365 Business Central

Production Administration

- Enter and maintain production orders, bills of materials, and inventory records in D365 Business Central
- Coordinate with production and warehouse staff to ensure inventory counts, transfers, and adjustments are recorded accurately
- Track raw material and finished goods inventory levels,



flagging discrepancies or shortages
- Support production scheduling by maintaining accurate data on order status, lead times, and material availability
- Generate production and inventory reports for management review
- Assist with costing updates and variance analysis tied to production activity

Inventory Replenishment & Purchasing

- Monitor stock levels of raw materials, packaging, and finished goods, and initiate purchase orders in D365 Business Central to maintain optimal inventory levels
- Determine replenishment quantities and timing based on production schedules, lead times, and minimum/maximum stock levels
- Place purchase orders with approved vendors and confirm pricing, quantities, and delivery dates
- Proactively follow up with suppliers on outstanding purchase orders to confirm order status, resolve delays, and ensure on-time delivery
- Track open purchase orders through to receipt, flagging any discrepancies between what was ordered and what was received
- Maintain accurate, up-to-date purchasing and replenishment records, and escalate potential stockouts or supply issues before they impact production
- Build and maintain strong working relationships with key suppliers to support reliable, timely fulfillment

General

- Maintain organized digital and physical filing systems for financial and production records
- Respond to internal requests for financial and production data in a timely manner
- Identify and recommend process improvements related to bookkeeping and production administration workflows
- Perform other administrative duties as assigned

Qualifications
- 2+ years of bookkeeping or accounting support experience, ideally within a manufacturing, production, or consumer goods environment
- Required:



hands-on experience with Microsoft Dynamics 365 Business Central
- Solid understanding of basic accounting principles (AP/AR, reconciliations, GL entries)
- Experience running full-cycle payroll
- Experience with excise duty/tax reporting and Health Canada CTLS reporting is a strong asset (or willingness to learn CRA excise and CTLS requirements)
- Experience with inventory management, purchasing, and/or production order processing is a strong asset
- Proficiency in Microsoft Excel
- Strong attention to detail and accuracy under deadline pressure
- Excellent follow-up and follow-through skills — able to track multiple open purchase orders and outstanding items simultaneously without things falling through the cracks
- Comfortable proactively reaching out to vendors/suppliers to chase order status, resolve discrepancies, and keep deliveries on schedule
- Good communication skills and comfort working cross-functionally with finance, production, and warehouse teams
- Ability to manage multiple priorities and work independently with minimal supervision

Preferred Qualifications
- Diploma or certificate in accounting, bookkeeping, or business administration
- Certified Professional Bookkeeper (CPB) designation or working toward one
- Prior experience in a food, beverage, cannabis, or consumer packaged goods production environment
- Experience supporting inventory costing, standard costs, or variance reporting
