Front Desk Administrator The Physical Care Place – Scarborough, ON

We are looking for a reliable, organized, and customer-service-oriented Front Desk Administrator to join our multidisciplinary healthcare clinic. The successful candidate will be responsible for providing excellent service to patients and supporting our healthcare providers with the day-to-day administrative operations of the clinic.

This is a hands-on position that requires someone who is punctual, attentive to detail, professional, organized, and comfortable working in a busy healthcare environment.

Key ResponsibilitiesFront Desk & Patient Services

- Greet patients and provide a welcoming, professional experience.
- Check patients in and out of the clinic and assist with appointment-related inquiries.
- Answer and direct incoming phone calls and make outgoing calls as required.
- Respond to patient inquiries through email, text messages, and other communication channels.
- Schedule, confirm, reschedule, and cancel appointments as required.
- Provide general information regarding clinic services, appointments, policies, and procedures.
- Process patient payments accurately and issue receipts.
- Assist healthcare providers with patients and provide administrative support as needed.

Clinic Opening & Closing
- Open and close the clinic according to scheduled hours and established procedures.
- Ensure the reception area and clinic are prepared for the start of the day.
- Complete end-of-day administrative and closing procedures.
- Punctuality and reliability are essential, particularly for opening and closing shifts.

Administrative & Documentation Duties
- Maintain accurate and organized patient/client files.
- Perform data entry and update patient information in the clinic's electronic medical records (EMR) system.
- Create, prepare, scan, print, and organize healthcare-related documents.
- Assist with forms,



reports, referrals, correspondence, and other clinical documentation.
- Maintain confidentiality and handle sensitive patient information appropriately.
- Complete general administrative tasks to support the smooth operation of the clinic.

Insurance & Healthcare Communication
- Contact insurance companies regarding patient coverage, claims, benefits, and other inquiries.
- Communicate with doctors' offices, healthcare professionals, and other external parties when required.
- Assist with insurance-related documentation and administrative follow-up.
- Provide support with direct billing and other insurance processes as required.

Clinic Support & Cleanliness
- Assist healthcare providers with patient-related administrative needs.
- Assist with light cleaning and general upkeep of the clinic.
- Complete laundry duties as required.
- Follow clinic sanitization, infection-control, and cleanliness procedures.
- Help maintain a clean, organized, and professional workplace for patients and staff.

Qualifications & Skills
- Previous experience in healthcare administration, medical reception, customer service, or a similar role is an asset.
- Excellent customer service and communication skills.
- Strong attention to detail and accuracy.
- Highly organized with the ability to multitask and prioritize responsibilities.
- Strong computer and data-entry skills.
- Comfortable using email, text messaging, electronic systems, and office software.
- Professional and courteous telephone manner.




- Ability to communicate effectively with patients, healthcare providers, insurance companies, and medical offices.
- Ability to maintain patient confidentiality and handle sensitive information professionally.
- Reliable, punctual, and dependable.
- Comfortable working independently as well as as part of a multidisciplinary healthcare team.
- Willingness to assist with general clinic duties, including light cleaning, laundry, and sanitization.
- Previous experience with an EMR or healthcare booking system is an asset.
