Qualifications
MINIMUM FORMAL EDUCATION/TRAINING:
- University Bachelor’s degree in a related discipline required.
- An acceptable equivalent combination of experience and education may be considered.
EXPERIENCE:
- At least 1 year of directly related administrative experience working in a Student support environment required.
- Understanding of a Graduate Student Program is preferred.
- Knowledge of University of Manitoba policies and procedures preferred.
- Working knowledge of immigration rules as it pertains to International students preferred.
- Demonstrated experience providing support to international students preferred.
- Must be proficient in using advanced features associated with Microsoft office (Word, Excel, TEAMS, forms) and general office digital platforms (ZOOM, Internet, email, windows).
- Previous experience working with Committees and providing administrative support to committee chairs. including preparing minutes & agendas is required.

- Proven ability to coordinate workflow, identify processes requiring improvements and recommend, develop and implement modifications to improve efficiency is required.

Key responsibilities
Graduate Student Program Administration & Academic Progression
- Serve as a primary departmental/program resource for graduate students, interpreting applicable policies, procedures, regulations and program requirements.
- Meet with students to review program plans and registration requirements.
- Maintain graduate student records and database information and monitors students' academic progression.
- Audit student progress each term, identifying academic difficulties, registration deficiencies, holds, failed grades, GPA concerns and time-in-program deadlines.
- Advise Faculty Advisors of student progress and participates in student performance meetings as required.
- Provide advice, support and appropriate referrals to students.
- Process leaves of absence, deferred examinations, course exemptions, extensions, advanced credits and other graduate student requests.
- Coordinate Annual Progress Reports, Change of Grade forms, advisory committee forms and other academic documentation.
- Coordinate thesis proposals, examinations and program defences.
- Verify advisory committee membership and University eligibility requirements for thesis examinations.
- Track graduate course grade entry and facilitates late-grade submissions.
- Conduct graduation audits to ensure students have satisfied Department/Program and Faculty of Graduate and Postdoctoral Studies requirements.
- Run required student/program reports according to FGS deadlines.
- Provide problem-solving assistance to students, faculty and staff and makes appropriate referrals.
Graduate Admissions, Registration & Applicant Administration
- Advise prospective students regarding FGS, ECE and BME admission requirements.
- Liaise with FGS, faculty members and applicants throughout the admissions process.
- Evaluate Canadian and international academic documentation and transcripts for admission purposes.
- Calculate GPAs for admission, entrance scholarships, awards and advanced credit purposes.
- Facilitate departmental/program admission review and ensures appropriate Faculty Advisor, Graduate Committee or Program Director approvals.
- Coordinate late, rush and deferred admissions.
- Advise applicants regarding outstanding documentation and application status.
- Track applicant progress and maintains relevant admissions information.
- Advise students regarding registration procedures and requirements.
- Provide information regarding appropriate course loads and courses based upon program requirements and academic approvals.
- Process prerequisite overrides and registrations where authorized.
- Liaise with academic departments regarding special permissions and registration.
- Process late registration documentation and requests relating to late voluntary withdrawals.
Graduate Program Governance, Awards & Academic Coordination
- Provide administrative support and advice to the Department Graduate Committee.
- Participate in Graduate Committee meetings, provides input, prepares agendas and records minutes.
- Provide guidance and information to Department Council/Graduate Committee regarding FGS and Registrar's Office policies, procedures and regulations.
- Coordinate and implement approved graduate program and course changes.
- Coordinate the Department's annual Graduate Calendar submission and identifies/recommends revisions for consideration by the Associate Head/Graduate Committee.
- Coordinate course offerings with the Department and Faculty and facilitates scheduling through the appropriate University systems.
- Coordinate departmental and Faculty and other related (e.g. UMGF, Women in Engineering) graduate awards, including calls for applications, eligibility review, applicant inquiries and processing of award allocations.
- Coordinate Ph.D. candidacy examinations, including scheduling, examination administration, advertising and invigilation arrangements.
- Coordinate graduate research seminars.
- Support major graduate-program initiatives and reviews, including Academic Program Reviews and other FGS requirements.
Program Communication, Records, Liaison & Operational Support
- Serve as a point of contact for ECE and BME graduate program inquiries and correspondence.
- Communicate with students, faculty, staff, University units, external organizations and the public.
- Liaise with University departments and external agencies to facilitate graduate program administration.
- Prepare, process and expedite departmental and Faculty documentation.
- Provide information and administrative guidance to approximately 50 Faculty-student advisors.
- Maintain graduate program websites for ECE and BME.
- Prepare and maintain statistical information concerning graduate programs, applicants and students.
- Prepare graduate seminar communications, posters and program announcements.
- Support specific departmental/program projects as assigned.
- Perform other related duties as assigned.
- Provide reception support for the Department in the absence of the General Office Assistant.
- Other duties as assigned.
