Job Summary
We are seeking a dedicated HR Admin Assistant to join our team. This role involves supporting administrative and coordination support to the Human Resources team across recruitment, onboarding and offboarding, benefits and pension administration, employee programs, training, engagement and recognition activities, and HR records management. The ideal candidate will play a vital role in ensuring efficient HR operations, maintaining accurate records, and facilitating effective communication across departments.
Responsibilities
Recruitment Administration
- Post and maintain job advertisements across internal and external recruitment platforms.
- Coordinate interviews and hiring manager calendars
- Maintain applicant tracking systems
- Coordinate reference and background checks and other pre-employment requirements
- Prepare offer packages and onboarding documents
Onboarding & Offboarding
- Prepare employee files and required employment documentation.
- Coordinate orientation schedules
- Maintain onboarding checklists and follow up on outstanding documentation.
- Coordinate requests for equipment, workspace, system access, and other onboarding requirements.
- Support offboarding activities and documentation
Benefits & HR Administration
- Assist in processing benefit and pension enrollments, changes, and terminations
- Maintain benefit records and eligibility tracking
- Assist employees with basic benefits inquiries
- Assist with reviewing benefit invoices and employee data
- Maintain organized electronic and physical HR records in accordance with company practices and applicable requirements.
- Prepare HR letters, forms, correspondence, and other employment documentation
- Provide administrative support to the HR team
Training Administration
- Coordinate training schedules, registrations, and communications.
- Maintain training records and compliance tracking
- Support Learning Management System administration
Culture & Recognition Support
- Coordinate employee recognition and service award programs.
- Assist with employee engagement activities and schedule meetings
- Coordinate event logistics, vendors, catering, and communications
- Maintain event participation records and assist with tracking budgets and expenses.
- Prepare engagement and event materials
ACADEMIC AND EXPERIENCE REQUIREMENTS:
- Post-secondary education in Human Resources, Business Administration, Office Administration, or a related field.
- 2–4 years of HR administrative experience, including recruitment, onboarding, employee records, and HR programs.
- Experience coordinating training, meetings, events, and employee engagement activities.
- Experience handling confidential employee information and maintaining accurate employee records.
- Benefits administration experience is an asset.
- CHRP designation or working toward CHRP is an asset.
SKILLS AND TECHNICAL REQUIREMENTS
- Strong organizational, time management, communication, and interpersonal skills with excellent attention to detail.
- Ability to manage multiple priorities, meet deadlines, and work independently and collaboratively.
- Experience with HRIS systems; Dayforce experience is preferred
- Strong problem-solving, coordination, and customer service skills.
- Ability to maintain confidentiality and handle sensitive information professionally.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Experience with ATS/recruitment platforms and HR reporting is an asset.
WORKING CONDITIONS:
- Ability to work in a fast-paced environment with changing priorities.
- Occasional travel between company locations may be required.
- Ability to support employee events, training sessions, and HR initiatives outside of regular working hours when necessary.
Pay: $55,000.00-$60,000.00 per year
