We collaborate with campus and community stakeholders, including Faculty and Program colleagues, the McMaster Students Union and the Graduate Students Association, to foster student potential by supporting the whole student and their well-being, creating a sense of belonging and offering experiences beyond the classroom that enable student transformation and growth.

We are hiring for a 12 month HR coordinator to support our Student Affairs department.

Job Summary The HR Coordinator provides a full range of HR support to staff and managers within the department. Reporting to the HR Senior Strategic Partner, this role is responsible for effective service delivery, acting as a trusted advisor to leaders on HR issues and initiatives, and supporting departmental priorities in alignment with University policy.

The HR Coordinator supports managers in the areas of recruitment & selection, orientation & onboarding, payroll administration, employee relations, equitable compensation, health and safety, termination/layoff/retirement, absence management, return to work/accommodations, and performance management.

Key Responsibilities

Administration & Payroll

- Implement efficient record-keeping, including attendance and time reporting
- Process payroll for large interim staff group
- Oversee staff time entry and approval procedures, ensuring training and timely resolution of discrepancies
- Support staff with McMaster email, MACID, and Mosaic access issues
- Advise on vacation entitlement; maintain attendance records and monitor attendance management initiatives
- Ensure effective records management, including electronic files and confidential information
- Assist employees with HR forms (tax forms, leave requests, employment verification, tuition reimbursement, etc.)
- Collect, review, and process premium payments Coordinate staff recruitment: create position codes and job openings in Mosaic, coordinate postings, disseminate materials to selection committees, coordinate interviews, and verify references

Organizational Planning & Talent Management

- Provide guidance on org structures, talent needs, and salary support; recommend recruitment approach and classification of roles
- Collaborate with units on assessing job functions and preparing position descriptions
- Prepare eForms and job openings in Mosaic
- Manage the selection process: applicant screening, interview panel participation as HR/EDI representative, guidance on equitable interview questions, reference checks, and salary recommendations
- Prepare contract extensions, terminations, and payroll changes; partner with HRSC on processing

Compensation & Benefits

- Advise on compensation and benefits issues, including salary/advantages costing for budgeting




- Ensure internal equity in staff remuneration and flag inconsistencies to management
- Recommend compensation for new hires
- Respond to staff inquiries on compensation and benefits

Employee Relations

- Provide front-line HR service to management and staff
- Advise managers on HR and employee relations issues; partner with ELR and consult on complex files
- Support policy and collective agreement interpretation
- Advise on performance issues, improvement planning, discipline, and complaint resolution
- Maintain current knowledge of HR policy changes and communicate implications to units

HR Planning & Process Improvement

- Meet regularly with leads to proactively plan administrative support needs
- Contribute to annual strategic planning
- Attend planning meetings with central admin management on operational processes and employee experience

Leave and Time Management

- Coordinate and advise on leaves of absence, medical accommodation, and return-to-work planning
- Review accommodation plans with managers and supervisors

Health & Safety

- Coordinate health and safety programs; monitor compliance with required training, working-alone policy, emergency procedures, and incident/injury reporting
- Liaise with EOHSS and other health and safety groups
- Manage WSIB claims in cooperation with Employee Health Services and the HRSC

Project Management

- Support HR-related projects and initiatives as directed by the manager
- Provide support and analysis to departmental leadership
- Support coordination of department events, including registrations, announcements, website updates, and logistics

Qualifications

Education

- University degree in HR, Business Administration, or equivalent
- Post-graduate diploma or certificate in Human Resources Management
- CHRP/CHRL designation, or working toward, preferred

Experience

- Minimum 3 years of HRBP/Generalist experience in an unionized environment
- Experience with strategic and HR planning, administration of collective agreements, payroll administration, health and safety, and recruitment processes
- Experience working with facilities planning an asset

Knowledge & Skills

- Success building relationships and fostering an inclusive culture in a dynamic environment
- Thorough knowledge of HR practice areas (compensation, health & safety, recruitment & selection, training & development, organizational effectiveness, employee/labour relations, HR information management) and relevant legislation
- High degree of attention to detail and accuracy
- High degree of integrity; ability to handle confidential and sensitive matters with tact and diplomacy
- Ability to work with and influence all levels, with expertise in HR and organizational governance, policies, and procedures
- Track record of developing and delivering value-added HR solutions
- Ability to influence decisions through thorough analysis
- Strategic planning skills and commitment to service excellence
- Demonstrated change management skills
- Excellent oral and written communication, time management, and organizational skills
- Ability to work independently
- Proficiency with Microsoft 365 (Outlook, Word, Excel, PowerPoint); knowledge of PeopleSoft (Mosaic)

Actual starting salary will depend on factors such as relevant experience, qualifications, internal equity, and market conditions.
