Expected Hours of Work: Hybrid - Monday - Friday - 9am-5pm In Office - Tuesday, Wednesday and Thursday
Collaborative environment with cross-functional team interactions.
Occasional evening or weekend work may be required depending on operational needs.
Highlights:
The hybrid HR Assistant role works within Spectrum’s Human Resources Department, as part of a collaborative administration team that supports our Co-Directors, Coordinators, Managers, Front line CSW staff and reports to the Director, Human Resources.
A diverse role, the HR Assistant will support a variety of HR functions with key accountabilities for following:
– HR processes and documentation
– Requirements of employment
– System access management
– Benefit administration
– Support Recruitment and Onboarding efforts
– Schedule Input
– Record keeping and file management
– Employee relations
– Employee safety, welfare, wellness, and health reporting; and
– Termination processing
– Day-to-day efficient operation of the HR department.
Duties and Responsibilities:
Specific Responsibilities will include some or all of the following:
– Assist with job postings, pre-screening,
interviewing job applicants and short-listing candidates
– Process hiring-related paperwork; references, requirements of employment (criminal record search, first aid certificate, orientation training and online training)
– Inform job applicants of details such as duties and responsibilities, compensation and benefits.
– Complete items on recent hire checklists, and send introductory emails to staff
– Interpret and explain human resources policies, procedures, standards, or regulations.
– Maintain current knowledge of the Employment Standards Act and Human Rights laws.
– Prepare or maintain employment records related to events, such as hiring, training checklists, termination, leaves, position changes and transfers
– Input of employee rotation schedules
– Provide input for improvement and development in recruitment processes and best practices to HR team
– Benefit Administration – enrollments, terminations, individual and organization wide salary increases and updates, overage dependent oversight, MPP enrollments, plan member updates – dependents/beneficiary.
– System management – software access and permissions
– Payroll support – processing of seniority increases and reporting
– Personnel file and records management; online and file records
– Processing terminations – full cycle
– Attendance and participation in meetings such as; Health & Safety committee and department meetings
– Other duties as assigned by the HR Director, HR Manager or Co-Directors.
Preferred Training or Experience:
– Excellent verbal and written communication skills.
– Excellent interpersonal skills, time-management and organizational skills, with valuable judgment in task prioritization.
– Ability to handle confidential material and situations with tact and discretion;
– Establish and maintain effective on-going communication with organizational leaders and managers
– Able to maintain a professional, approachable and appropriate attitude when interacting with all levels of personnel
– Able to work independently as well as part of a team with flexibility and willingness to learn and to take initiative on variety of tasks and projects as assigned
– Strong ability to proactively, critically, and collaboratively problem solve;
– Ability to quickly learn and leverage current software.
– Proficient in MS Office
– Prior experience with Comvida and Sharevision software is not required but considered an asset.
Other Specific Training
Computer proficiency (email, Word, internet usage)
Previous HR related experience desired, newly graduated HR professionals are encouraged to apply
