Job Title: Invoicing and Order Reconciliation Specialist
Job Type: Contract, Full-time
Pay: $28.00 to $38.00 per hour
Expected Hours: 35 to 40 per week
Location: Remote (Ontario / Greater Toronto Area preferred)
GravelTop Supply is a growing aggregate delivery company serving more than 50 locations across Ontario. We supply gravel, sand, and soil to residential, commercial, and industrial customers. We run a lean, technology-forward operation, using QuickBooks Online, our own internal applications, and modern software tools to work efficiently.
We are looking for a detail-oriented invoicing and reconciliation specialist to own our billing process from delivery to invoice. You will enter supplier bills, match and verify supplier invoices, allocate them to the correct customer orders, confirm pricing, and issue customer invoices. This is the person who makes sure every completed delivery is accurately billed and every supplier bill is accurately recorded.
This is a largely independent role. You will work remotely and manage your own workflow, so the ability to stay organized, self-motivated, and productive without close supervision is essential.
There is an existing backlog to work through in the first several weeks, after which the role settles into steady, ongoing invoicing along with supporting reconciliation and accounts receivable duties. This is a three-month initial contract with the potential to extend to a longer-term agreement based on performance and fit.
Responsibilities
- Enter supplier bills into QuickBooks Online and keep accounts payable records accurate
- Match incoming supplier invoices and delivery tickets to orders in our internal system
- Verify quantities, pricing,
and supplier details on each line item
- Allocate invoice line items to the correct orders and complete each order
- Confirm that pricing is assigned on every order before invoicing
- Generate and issue customer invoices in QuickBooks Online
- Identify and resolve discrepancies such as missing tickets, price mismatches, or duplicates, following up with suppliers or customers as needed
- Reconcile supplier statements and follow up on missing documentation
- Support accounts receivable, including follow-up on overdue customer invoices
- Support month-end reconciliation and reporting
- Keep order and invoice data accurate and current
Requirements
- Legally eligible to work in Canada
- Strong proficiency with QuickBooks Online, including bill entry and invoicing
- Proven bookkeeping, accounts payable, or accounts receivable experience
- Excellent attention to detail and solid organizational skills
- Self-motivated and highly effective working independently in a remote environment
- Comfortable learning and working within our internal applications
- Professional communication skills for dealing with suppliers and customers
- Able to provide professional references
Considered an asset
- Experience in the aggregate, construction, or trucking and logistics industries
- Familiarity with modern software and AI tools
- Based in Ontario or the Greater Toronto Area
Pay: $28.00-$38.00 per hour
