Position Overview The IT Coordinator is responsible for supporting the day-to-day technology needs of Vollmer and its employees, helping ensure reliable access to the hardware, software, systems, and technology resources required to perform work effectively.
This position serves as a primary point of contact for IT support and coordinates the setup, maintenance, troubleshooting, and administration of company technology, user accounts, equipment, and related services.
The incumbent is expected to work collaboratively with employees, management, external IT providers, software vendors, and other service partners to support secure and efficient business operations.
The incumbent must demonstrate professionalism, sound judgment, confidentiality, initiative, accountability, organization, responsiveness, and respectful communication in accordance with company policies and workplace expectations.
Primary ResponsibilitiesHelp Desk & User Support
- Serve as a primary point of contact for employee IT questions, issues, and service requests.
- Troubleshoot hardware, software, network, printing, connectivity, email, and peripheral issues.
- Provide in-person and remote technical support to employees with varying levels of technical knowledge.
- Diagnose issues and resolve them directly or escalate to the appropriate internal or external resource.
- Assist employees with Microsoft 365 applications, Windows, email, Teams, SharePoint, OneDrive, and other company applications.
- Track outstanding IT issues and ensure timely follow-up and resolution.
Hardware & Equipment
- Configure, deploy, maintain, and troubleshoot desktops, laptops, monitors, printers, mobile devices, and other IT equipment.
- Prepare computers, devices, and technology access for current employees.
- Coordinate the repair, replacement, secure disposal, and lifecycle management of IT equipment.
- Maintain an accurate inventory of company computers, devices, accessories, software licenses, and other IT assets.
- Support consistent hardware configurations and deployment standards.
User & Access Administration
- Create, modify, and disable employee user accounts in accordance with approved onboarding, transfer, and termination requirements.
- Manage user access and permissions based on job responsibilities and company requirements.
- Assist with password resets, multi-factor authentication, security groups, shared mailboxes, and application access.
- Coordinate IT requirements for employee onboarding and offboarding.
- Conduct periodic reviews of user accounts, permissions, and software licenses as directed.
Systems & Network Support
- Assist with the monitoring and maintenance of company networks, servers, wireless systems, internet connectivity, and related infrastructure.
- Troubleshoot basic network, VPN, Wi-Fi, and connectivity issues.
- Coordinate more complex infrastructure issues with external IT providers and vendors.
- Assist with software installations, updates, patches, and routine system maintenance.
- Support backup, recovery, and business continuity processes as required.
Cybersecurity
- Support Vollmer’s cybersecurity policies, procedures, standards, and technical controls.
- Assist with endpoint protection, multi-factor authentication, email security, software updates, and device security.
- Identify and promptly escalate suspicious emails, security incidents, unauthorized access, or other potential cybersecurity concerns.
- Assist with employee cybersecurity awareness and safe technology-use initiatives.
- Follow established procedures for protecting company information, credentials, systems, and technology assets.
Vendors & IT Administration
- Coordinate with third-party IT providers, telecommunications providers, software vendors, and equipment suppliers.
- Assist with obtaining quotes and coordinating approved technology purchases.
- Maintain records for software licenses, subscriptions, warranties, service agreements, and renewals.
- Assist with reviewing IT invoices, services, and renewals for accuracy as required.
- Provide information to management when evaluating technology needs, replacements, or potential improvements.
Documentation & Continuous Improvement
- Maintain accurate IT documentation, including equipment inventories, system information, procedures, user instructions, and troubleshooting guides.
- Develop clear user instructions and basic training materials when appropriate.
- Identify recurring IT issues and recommend practical solutions to improve reliability and employee productivity.
- Assist with technology upgrades, implementations, migrations, and other IT projects.
- Support the development, implementation, and maintenance of company IT procedures and standards.
- Identify opportunities to standardize technology processes, reduce duplication, and improve efficiency.
Service & Professional Expectations The IT Coordinator is expected to provide responsive, professional, and practical technology support while protecting the confidentiality and integrity of Vollmer information and systems.
- Communicate clearly and respectfully with employees when diagnosing and resolving technology issues.
- Prioritize service requests based on business impact, urgency, security risk, and operational needs.
- Follow through on open issues and keep affected employees informed of status and next steps.
- Exercise sound judgment when handling confidential information, credentials, administrative access, and company devices.
- Escalate significant security, infrastructure, vendor, or operational concerns to management in a timely manner.
- Maintain a service-oriented approach and support a positive employee experience when interacting with IT.

Qualifications and Experience
- Diploma or degree in Information Technology, Computer Systems, Network Administration, Computer Science, or a related field, or equivalent practical experience, is preferred.
- Previous experience in an IT support, help desk, systems support, or IT coordination role is preferred.
- Strong working knowledge of Microsoft Windows and Microsoft 365 applications and services.
- Familiarity with Microsoft Entra ID / Azure Active Directory, Active Directory, Exchange Online, Teams, SharePoint, and OneDrive is considered an asset.
- Understanding of basic networking concepts including TCP/IP, DHCP, DNS, Wi-Fi, VPNs, switches, and firewalls.
- Experience configuring and troubleshooting desktops, laptops, printers, mobile devices, and peripherals.
- Familiarity with cybersecurity best practices, endpoint protection, multi-factor authentication, backups, and access controls.
- Ability to coordinate multiple priorities, maintain accurate records, communicate effectively, and follow issues through to resolution.
- Experience working with IT vendors or managed service providers is considered an asset.

Pay: $65,000.00-$70,000.00 per year
