Job Overview

Maple Craft Inc. is looking for a Junior Accountant to join our team. The ideal candidate will be organized, detail-oriented, and comfortable handling day-to-day accounting activities, payment processing, reconciliations, and shipping-related records.

This position will also work closely with our sales, warehouse, and shipping teams to ensure orders, payments, invoices, and records are processed accurately and on time.

Accounting & Bookkeeping

- Maintain and update the company’s day-to-day accounting records and books.
- Record sales, purchases, payments, receipts, and other financial transactions accurately.
- Prepare and issue invoices and maintain proper invoice records.
- Monitor customer accounts and follow up on outstanding balances when required.
- Receive and record customer payments, including credit card, e-transfer, cheque, and other payment methods.
- Apply customer payments to the appropriate invoices and accounts.
- Reconcile customer accounts and investigate any discrepancies.
- Perform regular bank and payment reconciliations.
- Review transactions and ensure accounting records are complete and accurate.
- Assist with accounts receivable and accounts payable activities.
- Maintain organized financial documentation and supporting records.
- Assist with month-end closing and preparation of accounting reports.
- Work with the accounting team to resolve payment, invoice, and account discrepancies.
- Maintain confidentiality of financial and customer information.

Order & Payment Coordination
- Review orders to ensure pricing, quantities, payments, and customer information are accurate.
- Coordinate with the sales and customer service teams regarding payment status and order requirements.
- Confirm payments before orders are released for shipment, where applicable.
- Maintain proper records of payment confirmations and proof of payment.
- Assist with resolving payment-related issues with customers.





Shipping & Order Fulfillment
- Assist with processing and shipping customer orders accurately and on time.
- Prepare shipping documents, labels, invoices, and other required paperwork.
- Verify order contents against invoices and packing information before shipment.
- Coordinate with warehouse staff to ensure orders are ready for pickup or carrier collection.
- Arrange or coordinate shipments through the appropriate shipping carriers.
- Track outgoing shipments and update shipping records.
- Maintain accurate records of tracking numbers, shipping dates, carriers, and delivery information.
- Monitor shipment status and follow up on delayed, missing, or returned shipments.
- Assist with resolving shipping discrepancies and delivery issues.
- Maintain organized shipping documentation for future reference.
- Coordinate with customers and internal teams regarding shipment updates when required.
- Assist with processing returns, credits, and replacement shipments as directed.

Administrative & Team Support
- Maintain accurate digital and physical records.
- Assist with filing invoices, payment records, shipping documents, and other business records.
- Communicate professionally with customers, suppliers, shipping carriers, and internal departments.
- Support the accounting, sales, warehouse, and management teams with administrative tasks as required.
- Identify and report discrepancies or issues to management promptly.
- Perform other accounting, administrative, and operational duties as assigned.

Qualifications





- Previous experience in accounting, bookkeeping, accounts receivable, or a related position is preferred.
- Basic understanding of accounting principles and bookkeeping procedures.
- Experience with QuickBooks (QuickBooks Online preferred) is required.
- Comfortable working with numbers, invoices, payments, and financial records.
- Proficiency with Microsoft Excel and other Microsoft Office applications.
- Strong communication and interpersonal skills.
- Basic understanding of accounting principles and bookkeeping procedures.
- Strong attention to detail and accuracy.
- Robust communication and interpersonal skills.
- Ability to work independently as well as part of a team.
- Ability to manage multiple tasks and meet deadlines.
- Experience with accounting software or ERP systems is an asset.
- Strong understanding of bookkeeping principles, accounts payable/receivable processes, and account reconciliation techniques.
- Knowledge of banking procedures including bank reconciliation and audit preparation.
- Familiarity with corporate finance concepts such as budgeting and account analysis.
- Excellent attention to detail with strong organizational skills to manage multiple tasks efficiently.
- Ability to communicate clearly and work collaboratively within a team environment.
- Prior experience or coursework in accounting or finance is preferred but not required.
