ABOUT US

Kainaiwa Children's Services Corporation is a growing, dynamic First Nations organization providing programs and services to Blood Tribe children and families in need of support and protection so that they can become positive, healthy contributing members of our community; while maintaining KCSC's Vision, Mission Statements and incorporating Blood Tribe Traditions through "Kainayssini" the Declaration of the Elders of the Blood Indian Nation.

POSITION OVERVIEW

This position is primarily responsible for the creation and maintenance of child intervention files in accordance with program filing standards and record management policy and procedures.

DUTIES AND RESPONSIBILITIES

- Child Intervention Files
- Set up files on all new cases as per program standards.
- File documents in the relevant sections of the file.
- File documents daily to ensure timely access to information.
- Keep files in open bay shelves or in the restricted file cabinet, as appropriate.
- Ensure files are signed out by staff and returned in a timely manner.
- Complete the transfer checklist and transfer memo for files being transferred out of the office.
- Log all incoming files and check files for standards and currency.
- Accept CYIM transfer on incoming files.
- Maintain all files in good condition.
- Audit the open filing system on a quarterly basis to ensure closed or dormant files are moved to the closed section and files are in alphabetical order.




- Review closed files annually and maintain them as per records management retention and disposition policy.
- Keep the file room in a tidy and orderly fashion.

- Additional Duties

- Provide cover-off receptionist support.
- Complete data entry in CYIM as assigned.
- Provide back-up to adoption, foster care, and kinship care filing duties.

QUALIFICATIONS
- Should possess one of the following: Administrative Assistant Diploma, Office Assistant Certificate with one year of experience, or high school diploma or equivalent with at least three years of related experience.
- Proficient use of computers and software applications.
- Must possess excellent written and oral communication skills.
- Must undergo a Criminal Record check with vulnerable sector and Child Intervention check.
- A valid Driver's Licence and access to reliable transportation.
- Confidentiality is a necessity.
