Role Description: The Licensed Assistant role is a full-time, on-site position based in Woodbridge, ON. This role supports two advisors with day-to-day client service, including handling inquiries, preparing documentation, coordinating appointments, and maintaining accurate client records.
The Licensed
Assistant processes trades and account transactions in accordance with regulatory and firm policies, and helps prepare reports, presentations, and other materials for client meetings. The role also involves proactive follow-up with clients, support for marketing and business development initiatives, and close collaboration with back-office teams to ensure timely and accurate operations. A focus on professionalism, attention to detail,
and strong client experience is essential.
Qualifications:
- Licensing and regulatory: Completion of required Canadian securities licensing (e.g., CSC or equivalent) and eligibility to be registered as an assistant under applicable regulatory requirements.
- Client service and communication: Strong client-focused mindset with clear verbal and written communication skills, and the ability to handle inquiries and follow-ups with professionalism.
- Operational and administrative skills: Experience with account opening, documentation management, transaction processing, and accurate record-keeping in a financial services environment.
- Technology and tools: Proficiency with Microsoft Office (Word, Excel, Outlook, PowerPoint) and comfort working with CRM systems and advisor platforms used in wealth management.
- Organization and time management: Ability to manage multiple tasks, prioritize effectively, and meet deadlines in a busy advisor practice.
- Teamwork and collaboration: Ability to work closely with advisors, support staff, and head office teams while maintaining a respectful and inclusive work environment.
- Education and experience: Post-secondary education in business, finance, or a related field, and prior experience in wealth management or financial services support roles is an asset.
- Compliance and ethics: Demonstrated commitment to confidentiality, regulatory compliance, and high ethical standards in all client and firm interactions.
