Job summary: The maintenance coordinator develops, plans, and organizes programs regarding preventative maintenance, parts inventory and purchase, maintenance notifications, work orders and records of maintenance activities and equipment performance.
Duties:
- 1. Assist maintenance manager on developing a weekly/monthly maintenance schedule for preventative maintenance
- 1. Receive notifications from different farm department and generate work orders
- 1. Complete related paperwork for received maintenance orders
- 1. Provides a summary of Key Performance Indicators for weekly analysis
- 1. Develops and maintains relationships with suppliers of equipment, tools and services
- 1. Works closely with all Department Managers and Supervisors to ensure continuous communication of any maintenance related issues
- 1. Participates in planning and managing maintenance cost
- 1. Create best practices in implement and tracking work orders
- 1. Arrange local pick-ups needed for work orders
- 1. Ensure department employee hours worked are accurate and entered correctly into payroll system
- 1. Assist Maintenance Manager with any required scheduling changes and appropriate notification of same to affected employees
- 1. Resolve discrepancies with the accounts payable clerk in terms of PO’s and Vendor work orders if any.
- 1. Working in a safe manner, adhering to all health and safety and hygiene practices in accordance with Company policies and procedures as well as HACCP and SQF standards
- 1. Develops and Maintains a clear and defined library of spare parts needed for main equipment complete with specifications and lead time requirements
- 1. Defines Bill of Materials for equipment
- 1. Physically receive maintenance goods, unpack,
stock bins and shelves and place in proper location within the storage area and enter receipts into inventory system
- 1. Coordinate with suppliers items to be returned
- 1. Process debit memo to supplier for rejected material
- 1. Maintain parts stored in such condition as necessary to ensure safety, protection of property, efficient use of space and facility of accessing a clean and organized manner
- 1. Receive from tradesmen request for parts for maintenance tasks
- 1. Requisition parts and materials as required
- 1. Coordinate with Mechanical/Electricians to confirm necessity of parts ordered
- 1. Assist in processing of returns and offsite repairs
- 1. Distribute parts to tradesmen and enter withdrawals from inventory system
- 1. Reconcile physical and system inventories in respect of parts utilized or received outside of usual processes, as would occur on night or weekend shifts or in emergency or similar contingency situations
- 1. Respond to queries from Accounting/Finance personnel regarding maintenance parts
- 1. Provide occasional assistance to tradesmen with respect to identification of parts
- 1. Reconcile inconsistencies in data, anomalous usage, variances from budget, upcoming parts requirement or other issues as necessary to ensure efficient and predictable operation of the maintenance department
- 1. Conduct weekly mini-audits of physical inventory
- 1.
Conduct monthly cycle counts of parts to promote ongoing accuracy of inventory and its valuation
- 1. Investigate discrepancies in inventory counts
- 1. Perform other duties, including data entry or similar office support, as may be necessary for optimal operation of the maintenance department.
- 1. Other general labour duties as assigned.
Qualifications:
- 1. Proficient computer skills, including Excel, Word, Outlook, Internet.
- 1. Post-Secondary education with a focus in Business Administration is an asset
- 1. Flexibility to work weekends if necessary to meet production and maintenance requirements
- 1. Demonstrate a sound understanding of basic mathematical processes
- 1. Strong attention to detail
- 1. Ability to prioritize and multi-task.
- 1. Exceptional interpersonal and communication skills
- 1. Able to multitask and problem solve
- 1. Innovative, creative and self-motivated
- 1. Mature thinking, enjoys working in a collaborative environment
- 1. Comfortable working in farm setting (around moving machinery, noise, compost smells, dust, damp/wet environment).
- 1. Safety conscious; must be able to follow all prescribed safety policies and wear all personal protective equipment required for the job.
