About the Role

Matrix Agency Marketing Ltd. is seeking a highly motivated, organized, detail-oriented, and reliable Marketing Coordinator to join our team.

We work in a rapid-paced, deadline-driven environment supporting publicly traded companies, primarily within the junior mining and capital markets sectors. The successful candidate will be comfortable managing multiple priorities and client accounts simultaneously while maintaining a high standard of accuracy, professionalism, and responsiveness.

We are looking for someone who takes ownership of their work, exercises sound judgment, anticipates next steps, and is comfortable working independently while collaborating closely with the broader Matrix team.

Experience in junior mining or capital markets is an asset but is not required. Industry-specific training will be provided.

Responsibilities and Duties

Marketing & Client Account Support:

- Manage day-to-day marketing deliverables across multiple client accounts.
- Maintain and update client websites, ensuring information, corporate materials, links, management information, project information, and other public-facing content remain current and accurate.
- Maintain investor marketing materials, including corporate presentations, fact sheets, investor packages, website content, and other corporate collateral.
- Coordinate updates between websites, presentations, fact sheets, social media, email campaigns, and other public-facing materials to ensure consistency.
- Create, maintain, and execute client social media content calendars.
- Draft, schedule, proofread, and publish approved social media content across multiple platforms.
- Coordinate the dissemination and distribution of news releases and associated marketing materials.
- Build, test, schedule, and distribute email marketing campaigns and automated email journeys.
- Coordinate and execute webinars, including registration, speaker coordination, technical setup, rehearsals, distribution, and post-event materials.
- Coordinate approved paid media, digital advertising, interviews, sponsored content, and other promotional opportunities.
- Assist with basic video filming, editing, clipping, formatting, and publishing.
- Assist with basic graphic design and preparation of digital marketing assets.

Quality Control & Execution:

- Proofread and quality-check all materials before publication or distribution, including names, dates, numbers, hyperlinks, formatting, ticker symbols, corporate information, and supporting materials.
- Ensure the most current and approved versions of corporate materials are being used across all channels.
- Maintain organized client files, marketing assets, calendars, approvals, and version control.
- Follow internal approval processes and ensure required approvals are obtained before materials are published.
- Confirm scheduled deliverables have been successfully published, distributed, or completed rather than assuming automated or third-party processes have executed correctly.
- Identify errors, inconsistencies, missing information, or potential issues and escalate them appropriately before publication.




- Take ownership of assigned tasks from initial instruction through completion and final quality-control confirmation.

Project & Deadline Management:

- Manage multiple concurrent projects, deadlines, and client priorities in a fast-paced agency environment.
- Maintain accurate task lists, marketing calendars, client coverage information, and internal status updates.
- Proactively identify upcoming deadlines and requirements rather than relying solely on reminders.
- Communicate delays, questions, risks, or missing information early enough for the team to take corrective action.
- Coordinate effectively with other team members to ensure appropriate account coverage and continuity.
- Demonstrate the ability to prioritize urgent and time-sensitive work appropriately.

Conferences & Events:

- Coordinate conference and event preparation, including registrations, schedules, booth materials, printing, shipping/couriers, marketing collateral, meeting materials, and logistics.
- Ensure conference materials are current, accurate, approved, and delivered by required deadlines.
- Assist with scheduling meetings, webinars, interviews, and other client marketing activities.

Public Company & Capital Markets Support:

- Develop a working understanding of junior mining, investor relations, public-company communications, and capital markets.
- Follow Matrix's internal procedures relating to public-company communications, disclosure, promotional content, and marketing approvals.
- Recognize when content may require management, legal, regulatory, or client approval and escalate appropriately.
- Maintain strict confidentiality regarding client information, upcoming announcements, corporate developments, investor information, and other non-public information.
- Never publish, distribute, or materially modify client information without the appropriate authorization.

Office & Team Support:

- Assist with general office administration, including greeting clients and visitors, receiving mail and couriers, maintaining common areas, and supporting the day-to-day operation of the office.
- Provide coverage and support for other team members when required.
- Participate in internal meetings, training, and client account handovers.
- Maintain skilled and responsive communication with clients, vendors, colleagues, and external stakeholders.
- Flexibility in working hours may occasionally be required during busy periods, major client announcements, conferences, webinars, or other time-sensitive events.

Qualifications and Skills:

- 3–5+ years of relevant professional marketing, communications, account coordination, or agency experience.
- Undergraduate degree or diploma from a recognized institution in marketing,



communications, public relations, business, finance, or a related discipline.
- Agency, financial services, investor relations, public-company, or capital markets experience is considered a strong asset.
- Exceptional attention to detail and demonstrated proofreading and quality-control skills.
- Excellent written and verbal English communication skills.
- Strong organizational and project-management abilities.
- Exceptional time-management skills and the ability to manage competing deadlines.
- Demonstrated ability to take ownership of assignments and follow tasks through to completion.
- Ability to work independently, exercise sound judgment, and solve routine problems without requiring continuous supervision.
- Ability to recognize when an issue requires escalation and communicate it promptly.
- Strong critical-thinking and problem-solving skills.
- Ability to receive feedback, learn from errors, and implement processes to prevent recurring mistakes.
- Proven ability to collaborate effectively and work as part of a team.
- Professional, positive, dependable, and accountable approach to work.
- Comfortable working in a fast-paced environment where priorities can change quickly.
- Ability to handle confidential and potentially market-sensitive information with discretion.

Technical Skill

Strong proficiency with

- Microsoft Office, particularly Outlook, Word, Excel, and PowerPoint
- Email marketing platforms such as Mailchimp
- Social media management and scheduling platforms
- LinkedIn, X, Facebook, Instagram, and YouTube
- Website content management systems, particularly WordPress or similar CMS platforms
- Zoom meetings and webinars
- Adobe Acrobat and PDF editing
- Basic graphic design and image-editing tools
- Basic video editing software

Experience with Adobe Creative Cloud, Canva, Hootsuite, Buffer, CRM systems, analytics platforms, or other digital marketing tools is considered an asset. Candidates should also be comfortable learning new software, and digital marketing platforms as Matrix's technology evolves.
