About Us
Oakville Dermatology & Aesthetics is a trusted clinic providing high-quality dermatology and aesthetic treatments. We are looking for a reliable, organized, compassionate, and patient-focused Medical Office Administrator to join our team.
The ideal candidate will be comfortable working in a busy clinical environment, have excellent communication and customer service skills, and take pride in creating a welcoming and qualified experience for every patient.
Key Responsibilities
- Welcome patients and visitors in a warm, friendly, and professional manner
- Schedule, confirm, and manage patient appointments using clinic scheduling systems
- Answer incoming phone calls, return voicemail messages, and respond to emails in a timely manner
- Register patients and assist with check-in and check-out processes
- Process payments and handle transactions accurately
- Receive, process, and coordinate incoming referrals
- Assist with maintaining an efficient patient flow throughout the clinic
- Prepare, organize, and maintain exam rooms to ensure they are clean, organized, and ready for patients
- Maintain office supplies, medical forms, and other administrative materials
- Enter and maintain accurate patient information in the clinic's systems
- Follow all clinic policies and maintain strict patient confidentiality
- Provide general administrative support to physicians and clinic staff as required
- Assist with other day-to-day clinic tasks as needed
Skills & Qualifications
- Previous experience in a medical office, healthcare, or customer service environment is an asset
- Strong organizational skills with the ability to multitask and prioritize effectively
- Excellent verbal and written communication skills
- Exceptional customer service and interpersonal skills
- Comfortable using computers and learning new software and technology
- Strong attention to detail and accuracy
- Ability to remain calm, professional, and organized in a fast-paced environment
- Commitment to patient confidentiality and professionalism
- Professional appearance and positive attitude
- Reliable, punctual, and dependable
- Ability to work independently while also being a strong team player
Preferred Experience
- Experience working with EMR systems is helpful
- Excellent customer service and patient communication skills
- Previous experience in a medical, dermatology, or aesthetic clinic is an asset
- Comfortable learning new software and clinic systems
Training can be provided to the right candidate. We are more interested in finding someone who is dependable, personable, eager to learn, and committed to providing excellent patient care and service.
