Overview

Join our agile healthcare team as a Medical Office Administrator, where your organizational skills, professionalism, and patient-centered approach will help keep our medical practice running smoothly. In this vital role, you will be one of the first points of contact for patients and visitors while supporting physicians and clinical staff with scheduling, billing, insurance coordination, medical documentation, and day-to-day office operations.

The ideal candidate is highly organized, detail-oriented, comfortable working in a fast-paced healthcare environment, and experienced with medical office administration. Phlebotomy experience is considered a strong asset, as the successful candidate may be required to assist with basic clinical procedures within their scope of training.

Responsibilities

- Greet patients and visitors professionally, provide excellent front-desk service, and guide patients through check-in and registration procedures.
- Manage a multi-line phone system, respond to patient inquiries, and direct calls appropriately.
- Schedule, confirm, reschedule, and manage patient appointments using the clinic's electronic medical record (EMR) system.
- Maintain accurate and confidential patient records in compliance with applicable privacy legislation and clinic policies.
- Perform medical billing and administrative billing duties, including processing insured and uninsured services, payments, invoices, and outstanding balances.
- Verify patient insurance coverage and communicate with private insurance companies regarding eligibility, claims, billing inquiries, and required documentation.
- Assist patients with insurance forms,



workplace injury documentation, and other required medical or administrative paperwork.
- Process and coordinate WSIB-related documentation, claims, forms, and correspondence as required.
- Order, receive, organize, and maintain inventory of medical and office supplies, ensuring adequate stock levels and timely replenishment.
- Communicate with suppliers and vendors regarding orders, invoices, deliveries, and supply issues.
- Support clinical staff by coordinating patient flow and ensuring that required forms, documentation, and information are completed before appointments.
- Assist with administrative duties including filing, scanning, data entry, preparing correspondence, and generating reports.
- Perform or assist with phlebotomy and specimen collection, where appropriately trained, certified, and within the employee's scope of practice and clinic policies.
- Maintain a clean, organized, professional, and efficient reception and clinical support environment.
- Perform other administrative or clinical support duties as assigned.

Qualifications
- Previous experience as a Medical Office Administrator, Medical Receptionist, Clinic Administrator, or similar healthcare administrative role is strongly preferred.




- Phlebotomy or blood collection experience/training is considered a strong asset.
- Experience with medical billing, including OHIP billing and uninsured services, is preferred.
- Experience working with private insurance companies, processing insurance claims, and handling billing-related inquiries is preferred.
- Knowledge of WSIB processes, forms, and workplace injury claims is an asset.
- Experience ordering and managing medical and office supplies and maintaining inventory.
- Proficiency with electronic medical record (EMR) systems and medical office software.
- Strong understanding of medical terminology and healthcare documentation.
- Excellent organizational skills and attention to detail, particularly when handling billing, scheduling, insurance information, and patient records.
- Ability to handle sensitive and confidential patient information in accordance with privacy legislation and clinic policies.
- Strong communication and interpersonal skills with a professional, friendly, and patient-focused approach.
- Ability to multitask, prioritize responsibilities, and work effectively in a fast-paced medical environment.
- Proficiency with Microsoft Office and general computer applications.
