Position Summary The Medical Office Assistant (MOA) is responsible for providing administrative and clerical support to physicians and healthcare professionals while ensuring efficient clinic operations and exceptional patient service. The MOA serves as the first point of contact for patients and plays a vital role in maintaining accurate medical records, coordinating appointments, and supporting the delivery of quality patient care.
Key Responsibilities
Patient Reception & Customer Service
- Welcome patients and visitors in a professional and courteous manner.
- Register patients and verify demographic, insurance, and contact information.
- Answer incoming telephone calls and respond to patient inquiries.
- Schedule, reschedule, and confirm patient appointments.
- Manage patient check-in and check-out processes.
- Address patient concerns and escalate issues when appropriate.
Administrative Duties
- Maintain accurate patient records within the Electronic Medical Record (EMR) system.
- Scan, upload, and organize medical documents.
- Process incoming and outgoing correspondence, including faxes, emails, and mail.
- Prepare and distribute forms, letters, and medical documentation.
- Assist with referral management and specialist bookings.
- Maintain office supplies and inventory as required.
Medical Records Management
- Ensure accuracy and confidentiality of patient information.
- Retrieve, update, and file patient records.
- Process requests for medical records in accordance with privacy legislation and clinic policies.
- Maintain compliance with all applicable privacy and confidentiality requirements.
Billing & Financial Duties
- Collect payments for uninsured services.
- Issue receipts and maintain accurate payment records.
- Assist with billing inquiries and administrative fee processing.
- Reconcile daily payment transactions when required.
Clinic Operations Support
- Coordinate physician schedules and clinic workflows.
- Assist with chart preparation and document management.
- Support clinic projects, quality improvement initiatives, and operational processes.
- Participate in staff meetings and training sessions.
- Perform other administrative duties as assigned.
Qualifications
Education
- Medical Office Assistant Certificate or related administrative training preferred.
Experience
- Previous experience in a medical clinic, healthcare setting, or administrative office preferred.
- Experience with Electronic Medical Records (Accuro preferred) systems is considered an asset.
Knowledge & Skills
- Strong customer service and interpersonal skills.
- Excellent verbal and written communication abilities.
- Proficiency in Microsoft Office Suite and computer applications.
- Ability to manage multiple tasks and prioritize effectively.
- Strong organizational and time-management skills.
- Knowledge of medical terminology is an asset.
- High level of accuracy and attention to detail.
- Ability to maintain confidentiality and professionalism
- Bilingual in English and French; French language skills are an asset.

Pay: $16.50-$25.90 per hour
