POSITION SUMMARY & PRIMARY OBJECTIVES The Office Administrator and Program Support role oversees the day-to-day operations of the Hope for Korah office while providing administrative and logistical support to the Executive Director, Sponsorship Manager, Finance Manager, and other staff. This position helps keep the office organized and running smoothly by coordinating volunteers and events, maintaining systems and records, assisting with sponsorship updates and donor communications, tracking program information and deadlines, and supporting fundraising and organizational activities.
This role also represents Hope for Korah at mission festivals, markets, fundraising events, and other community opportunities. It is well suited to a highly organized, flexible, and proactive administrator who enjoys working collaboratively, managing a variety of responsibilities, and using their skills to contribute to international development.
CORE RESPONSIBILITIES
Office Administration and Operations
- Oversee day-to-day office operations, serving as a primary point of contact and resource for team members while fostering an productive, supportive, and welcoming office environment.
- Oversee and continuously improve office systems, workflows, processes, and administrative procedures to enhance operational efficiency.
- Coordinate office communications and logistics, including mail, general email inquiries, pickups, and deliveries.
- Maintain office calendars and manage equipment, supplies, invoices, and other administrative needs.
- Maintain accurate and organized records and databases, including Microsoft 365 files, Salesforce CRM, and physical filing systems.
- Coordinate preparations for visitors, meetings, presentations, and events, ensuring that necessary materials, amenities, and IT support are in place.
- Provide administrative support to the Finance Manager, including maintaining accurate records and assisting with financial processes as needed.
Programming, Fundraising and Team Support
- Support year-round fundraising activities and mailouts and lead the operational planning and
execution of HFK’s annual in-person fundraising event.
- Coordinate volunteer involvement, including communication, scheduling, training, and supervision as needed.
- Build and maintain positive relationships with donors, sponsors, interns, volunteers, Ethiopian staff, Board members, and other HFK stakeholders.
- Support donor stewardship by preparing handwritten thank-you cards, sponsor Christmas cards, and other personalized communications.
- Represent Hope for Korah at mission festivals, markets, churches, fundraising events, and community outreach opportunities by sharing the organization’s mission, engaging with supporters, and selling merchandise.
- Support the Sponsorship Manager and other program staff by assisting with sponsorship and program updates, correspondence, recordkeeping, program stories, promotional materials, and presentation preparation as requested.
- Coordinate travel preparations for HFK teams travelling to Ethiopia, collaborating with Ethiopian staff to develop and align itineraries.
- Provide administrative and executive support to the Executive Director, including conducting research, preparing presentations and communications, assisting with fundraising activities, and maintaining organized records and files.
- Participate in HFK’s “all-hands-on-deck” approach by assisting with a variety of administrative, program, community engagement, and fundraising tasks to meet important deadlines and support the smooth functioning of the organization.
KNOWLEDGE AND EXPERIENCE REQUIRED

- Proficiency in Microsoft Office applications, including Word, Excel, Outlook, and Teams.
- Strong computer literacy and confidence learning new technology, systems, and databases.
- Ability to maintain accurate digital and physical records and handle sensitive information with discretion.
- Collaborative and flexible, with a willingness to assist across a wide variety of responsibilities.
- Ability to coordinate and support volunteers through clear communication, encouragement, and direction.
- Demonstrated interest in international development, humanitarian work, or community
- empowerment, and alignment with Hope for Korah’s mission and values.
- Two to three years of experience in administration, office coordination, or a related support role.
- A degree or diploma in office administration, business administration, or a related field, or an equivalent combination of education and experience.
- Willingness and availability to occasionally work evenings or weekends for fundraising events and community outreach activities.
- A valid driver’s licence and access to reliable transportation.
Desirable
- Previous experience with Salesforce, SharePoint, or similar platforms.
- Experience using CRM systems and maintaining accurate donor or stakeholder records.
- Experience working in the nonprofit or charitable sector.
- Previous experience in international development, humanitarian work, or community empowerment.
- Experience in event planning, fundraising, volunteer coordination, community outreach, or public relations.
- Experience providing administrative support related to finance, invoicing, or bookkeeping processes.
