Job Overview
We are seeking a highly organized and proactive Office Administrator to oversee daily office operations and support our team. The ideal candidate will possess strong administrative, clerical, and communication skills, with experience in supervising staff and managing office systems. This role is essential for maintaining an efficient work environment, ensuring smooth communication, and supporting human resources functions.
The Office
Administrator will play a key role in vendor management, bookkeeping, payroll processing, and office management tasks to facilitate the company's overall success.
Duties
- Manage front desk operations, including greeting visitors and handling multi-line phone systems with professionalism and courtesy
- Oversee clerical tasks such as filing, data entry, and document management using tools like QuickBooks and other office software
- Supervise administrative staff and coordinate team management activities, including training & development initiatives
- Support human resources functions including onboarding, employee records management, and payroll processing
- Handle vendor management by coordinating with suppliers and service providers to ensure timely delivery of goods and services
- Assist with budgeting activities, expense tracking, and financial record keeping
- Maintain organized office procedures to improve workflow efficiency
- Ensure proper phone etiquette and effective communication across all departments
- Support office supply inventory management and procurement processes
Experience
- Proven experience in an administrative or office management role with strong clerical skills
- Supervising experience is preferred to manage team members effectively
- Proficiency in QuickBooks for bookkeeping and payroll processing is highly desirable
- Prior experience working at a front desk or handling multi-line phone systems is beneficial
- Knowledge of human resources processes including training & development, employee onboarding, and vendor relations
- Excellent organizational skills with the ability to multitask in a fast-paced setting
- Strong communication skills to liaise effectively across departments and with external vendors
- Experience with office software such as MS Office Suite (Word, Excel, Outlook) is required
